Qualifications

• 5+ years of experience in transfer agency operations, fund accounting, third-party vendor governance, or middle-office operations within the financial services/asset management industry.
• Bachelor's degree preferred or 10+ years of experience in lieu of degree.
• Deep understanding of mutual fund operations, transfer agency record keeping, net settlement, omnibus reconciliation, and tax/regulatory processing rules.
• Vendor management: monitor, govern, and hold external service providers accountable to SLAs and operational metrics.
• Strong analytical and troubleshooting skills; excellent written and verbal communication for cross-functional collaboration.

Responsibilities

• Supervise periodic MFD activities such as fund event updates, fund mailings, forms review, public site content reviews, client alerts, and system updates.

job summary: As part of a strategic initiative to modernize our Transfer Agent (TA) platform, our organization is implementing a next-generation recordkeeping system designed for intermediated accounts while transitioning select legacy direct accounts-referred to as Mutual Fund Direct (MFD)-to a specialized third-party service provider model. Under this new operating structure, our firm will retain complete client ownership and high-level governance while overseeing our external transfer agency service provider to ensure seamless execution of operational activities. We are seeking a Transfer Agent Governance & Oversight Specialist to monitor, govern, and manage operational workflows across this MFD client portfolio. The ideal candidate will ensure that our primary service provider executes all servicing, transaction, reconciliation, and regulatory requirements accurately, completely, and within targeted SLAs.

Key Responsibilities

1. Transfer Agency Operations Oversight

• Oversee the third-party provider's day-to-day execution of Transfer Agent servicing activities across client accounts.
• Monitor service delivery to ensure transaction processing, statements, confirmations, client inquiries, correspondence, web platform support, and tax reporting meet operational standards and regulatory deadlines.
• Serve as a functional liaison between internal teams and external providers to resolve operational bottlenecks and maintain quality standards.

2. Operational Process Management

• Lead high-volume operational controls, including net settlement and omnibus account reconciliations.
• Oversee client operational requests and historical document processing, including money movement, transfer requests, account adjustments, and elevated client scenarios.
• Manage specialized operational processes for institutional/advised client segments and complex account structures.

3. Specialized MFD Operations Support

• Supervise periodic and low-frequency MFD operational activities, including fund event updates, fund mailings, forms review, public site content reviews, client alerts, and system updates.
• Oversee statutory and regulatory account processes, such as escheatment, Coverdell ESA force liquidations, promotion/demotion workflows, cost-basis matching, and regulatory reporting.

4. Issue Resolution & Continuous Improvement

• Act as the primary point of contact for ad hoc operational issue resolution across MFD workflows.
• Identify recurring service defects or process gaps, collaborating with external service partners to implement root-cause fixes and workflow enhancements.

Work Allocation & Focus Areas

• 50% - Net settlement & omnibus reconciliation oversight
• 30% - Historical document management & client operational support
• 20% - Specialized MFD operational processes, regulatory compliance, and ad hoc issue resolution

Qualifications & Key Requirements

• Experience: 5+ years of experience in transfer agency operations, fund accounting, third-party vendor governance, or middle-office operations within the financial services/asset management industry.
• Education: Bachelor's preferred OR If they have no degree they should have 10+ Years Of Experience.
• Domain Knowledge: Deep understanding of mutual fund operations, transfer agency record keeping, net settlement, omnibus reconciliation, and tax/regulatory processing rules.
• Vendor Management: Proven ability to monitor, govern, and hold external service providers accountable to operational metrics and SLAs.
• Problem Solving: Strong analytical and troubleshooting skills to resolve complex operational exceptions and elevated client scenarios.
• Communication: Excellent written and verbal communication skills for cross-functional collaboration and external partner management.
