Pluto Healthcare Staffing, LLC is seeking a Senior Manager Finance Operations to own payroll, invoicing, AR, AP, and monthly close. The role leads the Finance Operations team and reports to ownership, with hands-on responsibility for payroll and cash application during peak periods.

You will manage banking operations, multi-state tax compliance, and licensing, ensuring accurate monthly closes and reconciled balance sheets. Strong leadership and system familiarity are required.

Pluto Healthcare is a healthcare staffing organization placing travel and local contract nurses and allied health professionals in health systems and hospitals across a growing multi-state footprint.

We are hiring a Senior Manager Finance Operations to run our money cycle end to end — payroll, invoicing and AR, accounts payable, banking operations, and multi-state tax and licensing compliance — and to own our monthly close and general ledger. This role manages direct reports and has a reporting relationship directly with ownership.

This is a hands-on role for someone who takes real pride in a function that runs cleanly. You will be in the systems every week, not reviewing from a distance, and you will be the person who can personally cover any seat on your team when someone is out.

Key Responsibilities:

• Payroll. Weekly multi-state W-2 payroll for travel and local contract clinicians, including off-cycles, corrections, and resolving pay discrepancies directly with the people affected.
• Invoicing and AR. Timecard-based billing, submission through client and VMS portals, dispute and rejection management, credit and rebill, cash application, and direct ownership of collections and DSO.
• Accounts payable. Vendor setup and terms, payment runs, AP accruals and cut-off, and vendor reconciliations.
• Monthly close and general ledger. Journal entries, accruals (including unbilled revenue and commission and bonus accruals), prepaids and reversals, payroll-to-GL tie-outs, and every balance sheet reconciliation each month. You deliver a closed, reconciled trial balance to our outside accounting firm on a fixed monthly calendar; they produce the monthly financial statements.
• Banking operations. Cash positioning, payment origination and approval workflow, administration of bank fraud controls including positive pay and ACH debit block, check register management, and bank fee review.
• Multi-state tax and compliance. Registrations, withholding accounts, SUTA rates and local tax jurisdictions across our footprint, including municipal and school-district level taxation. Coordination of filings through a third-party tax filing agent, including jurisdiction mapping, quarterly transmissions and annual W-2 processing.
• Workers' compensation. Premiums, monthly payroll reporting, annual true-up and annual audit across both monopolistic state-fund and private-carrier states.
• Business licensing. State healthcare staffing agency licensure and renewals, associated periodic reporting, and municipal business licenses.
• Recurring reporting. Weekly headcount reporting, monthly management reporting to ownership, and the monthly close package for our outside accounting firm.
• People leadership. Direct supervision of our Payroll Specialist and AR/Billing Specialist, including setting priorities and reviewing their work. The team is cross-trained so each can cover the other — and so can you. During absences or peak periods, you will personally run weekly payroll, invoicing and cash application. You will also manage the relationship and close calendar with our outside accounting firm.

Preferred:

• CPP (Certified Payroll Professional) certification. CPA or accounting degree a plus.
• Workday Payroll process experience.
• Workday Financials experience — journal entries, account reconciliations and period close.
• Experience owning a full monthly close through a reconciled trial balance.
• ADP SmartCompliance, or comparable third-party tax filing agent experience.
• Bullhorn Time & Expense, or another staffing timecard-to-invoice platform.
• Background in staffing, PEO, home health, or another business with weekly payroll and bill-off-timecards mechanics.
