Job summary

Nemacolin Woodlands Resort seeks a Control & Inventory Specialist to organize and provide operational visibility for the Engineering Department. You will integrate inventory control, purchasing, financial administration, and work-order management to ensure engineers have the materials, information, and resources needed to maintain the resort.

The role suits a highly organized, detail-oriented professional who owns information and processes, understanding that accuracy supports the guest

Qualifications

  • Associate degree in business management, supply chain management, hospitality management, or a related field preferred; equivalent combinations of education and experience may be considered
  • One year of experience in stocking, moving, storage, inventory, clerical, accounting, or a related field required; two years of experience in a hospitality material control or maintenance supply environment may substitute for the experience requirement
  • Practical knowledge of inventory transactions, recordkeeping, and related administrative processes
  • Intermediate or higher proficiency with Microsoft Word and Excel preferred
  • Database experience preferred
  • Must be at least 18 years of age and be able to speak English fluently
  • Ability to work effectively with confidential, financial, personnel, inventory, and operational information
  • Ability to support a flexible schedule, including additional Engineering assignments as operational needs require

Responsibilities

  • Maintain accurate records of parts, materials, tools, equipment, and resort assets and monitor par levels
  • Monitor budgets, expenditures, funding sources, cost allocations, and obligated funds; prepare financial reports for leadership decisions
  • Coordinate purchase orders, deliveries, invoices, payments, and subcontractor vouchers with multiple departments
  • Maintain Manager Plus and HotSOS records and ensure timely work-order activity information
  • Support payroll, Associate Housing work orders, weekly Resume meetings, and other departmental communications
  • Maintain departmental records and processes with attention to discrepancies
  • Support engineering operations and respond professionally to associates, vendors, and guests

As the Control & Inventory Specialist, you will create the organization and operational visibility that help Nemacolin’s Engineering Department work efficiently, responsibly, and without unnecessary interruption. You will bring together inventory control, purchasing, financial administration, work-order management, and departmental records, ensuring engineering leaders and associates have the materials, information, and resources needed to maintain the resort. This role is ideal for a highly organized, detail-oriented professional who takes ownership of information and processes and understands how accuracy behind the scenes supports every experience throughout the resort.


What You Will Create


  • A reliable source of inventory information for the Engineering Department by maintaining accurate records of parts, materials, tools, equipment, and resort assets, monitoring par levels, and keeping requisitions, checkout records, and inventory systems current

  • Greater visibility and control over engineering resources by monitoring departmental budgets, expenditures, funding sources, cost allocations, and obligated funds, while preparing financial reports that help engineering leadership make informed operational decisions

  • A smooth connection between engineering and its business partners by coordinating purchase orders, deliveries, invoices, payments, and subcontractor vouchers with Engineering, Purchasing, Accounting, and the P&L Departments, helping ensure transactions are accurate and appropriately supported

  • An organized flow of maintenance information by maintaining Manager Plus and HotSOS records, monitoring service orders and system access, preparing recurring reports, and ensuring engineering leadership has timely information about work-order activity

  • Administrative continuity for the Engineering Team by supporting payroll and personnel processes, Associate Housing work orders, weekly Resume meetings, and other departmental communications that help associates and leaders remain informed and aligned

  • Confidence in departmental records and processes through careful documentation, timely follow-through, and attention to discrepancies involving inventory, financial transactions, work orders, purchasing, and other operational information

  • A professional, well-organized engineering support environment by maintaining appropriate office, inventory, safety, communication, and organizational standards while providing responsive support to Engineering associates, leadership, and resort departments

  • A flexible and dependable contribution to engineering operations by supporting additional departmental responsibilities, including snow removal, MP2 preventive maintenance, rotating shifts, and other assignments as operational needs require

  • Comfort working with numbers, systems, and operational information, including inventory databases, spreadsheets, work-order platforms, purchasing systems, and other technology

  • Clear, professional communication skills, with the ability to provide accurate information and build effective working relationships with associates, managers, vendors, and resort department

  • Professional judgment and discretion, particularly when handling financial, personnel, inventory, and operational information

  • A collaborative, service-oriented approach, with a willingness to support engineering operations and respond professionally to associates, members, and guests
