Job Overview
Our client, an energy company, is looking for a short-term Contracts Specialist to support a supplier compliance effort for a major energy project in Utah. You will update contract terms with about 60-70 oilfield service, construction and equipment suppliers and collect required information from them. That means sending outreach, tracking every response and following up until each supplier is closed out.
The work is mostly organization and persistence. Every supplier relationship is different, so you'll work with suppliers' contracts, sales and operations contacts, as well as the client's Supply Chain, Legal and field teams.
Key Responsibilities
- Supplier outreach: Send communications and contract documents to a defined list of suppliers. Confirm the right contact at each company and keep contact data accurate.
- Tracker ownership: Keep a single, current status record for every supplier: what was sent, what came back, what's outstanding and who owns the next step.
- Follow-up: Chase open items on a regular schedule, escalated stalled suppliers, and report progress and blockers weekly.
- Contract amendments: Prepare, route and track amendments and exhibits to existing Master Service Agreements (MSAs). Manage signatures through to executed copies and file them correctly.
- Compliance information: Collect supplier responses on workforce classifications, subcontractors and payroll processes. Flag gaps or problems for review.
- Supplier questions: Answer routine questions using approved guidance. Route legal or commercial questions to the right internal owner.
- Gap identification: Identify suppliers with missing agreements, outdated contacts or unclear scope, and help resolve them.
- Close-out: Confirm each supplier is complete, and leave documentation thorough enough for the work to be audited and handed over.
What Success Looks Like
- Every supplier on the list has been contacted, tracked and closed out, or escalated with a clear reason.
- Executed amendments are filed and easy to find.
- Leadership gets an accurate status picture every week without having to ask for it.
Required Qualifications
- 3+ years of experience in contract administration, procurement or supplier management
- Experience managing contract amendments and signature routing across many counterparties at once
- Excellent organization, with the ability to keep 50+ open threads moving without anything falling through
- Clear, professional written communication with external suppliers
- Comfort with follow-up: persistent, polite and proactive
- Strong Excel skills for tracking, filtering and status reporting
- Good judgment about when to resolve an issue yourself and when to elevate it
Preferred Qualifications
- Experience with oilfield services, drilling, construction or energy suppliers
- Familiarity with federal certified payroll or labor compliance programs
- Experience with Inflation Reduction Act (IRA) prevailing wage and apprenticeship compliance
- Experience with Microsoft 365 (Outlook, SharePoint, Teams), DocuSign and a contract management system
