Job summary

The University of Hawaiʻi system invites applications for a Contracts and Grants Specialist (Contracts and Grants Assistant Manager) in the Office of Research Services (ORS). The role supervises the Contracts & Grants Administration Section, guiding daily operations, proposal reviews, and post‑award activities to support UH’s extramural research portfolio.

Qualifications

• Possession of a baccalaureate degree and 4 years of progressively responsible professional experience related to grants management.
• Strong knowledge of extramural proposal and award administration.
• Ability to interpret federal and state laws, rules, and regulations related to sponsored programs.
• Experience leading staff and managing workloads in a fast-paced environment.
• Ability to communicate clearly in writing and verbally and to prepare reports.
• Experience coordinating with PIs, fiscal administrators, and UH personnel.

Responsibilities

• Prioritize and assign section workload to ensure timely, accurate operations.
• Establish performance expectations and conduct evaluations.
• Provide training for ORS staff and UH faculty and staff on contracts and grants administration.
• Brief managers on critical issues affecting administration.
• Assist in preparation of sponsored program proposals, including multi-institution submissions.
• Review budgets and ensure compliance with funding agency and UH policies.
• Sign and submit proposals and review post-award modifications with delegated authority.
• Ensure required funding certifications and sign necessary documents.
• Consult with investigators and administrators to clarify program needs.
• Maintain up-to-date project documents and provide regular status reports.
• Participate in software module implementations and testing.
