CONTRACTS AND PROCUREMENT MANAGER - Hybrid
Our client is seeking a Contracts & Procurement Manager who will understand, develop, and manage all facets of contract formation, negotiation, and management and provide guidance and oversight of the procurement function to all levels of staff on a global level. As a subject matter expert, the role will lead and collaborate with business units in establishing quality improvements, process efficiencies, managing risks, and maintaining positive relationships with stakeholders across their global operations. This job is considered to be hybrid work cadence: primarily remote but must be able to meet (monthly or quarterly) with their team as needed in Irvine, CA or NYC. The ideal candidate is based in Irvine or the surrounding area including Los Angeles with the second preference being the New York metro area. The salary range for this role is 115-120k base.
Responsibilities:
- Provide day-to-day contract administration support and manage and administer the full lifecycle of the procurement and contracts processes.
- Draft and manage legally binding contracts and agreements with vendors, suppliers and service providers including marketing entities such as social media influencers, production agencies, digital agencies and so on.
- Assist staff in negotiating contract terms and conditions ensuring they reflect favorable terms and the company’s business interest, mitigate risk and comply with applicable laws, regulations and company policies.
- Serve as the subject matter expert in developing and refining contract templates, tools, and systems to ensure efficient processes and compliance.
- Provide guidance to staff on contract-related matters, ensuring all teams are equipped with best practices.
- Collaborate with legal and finance teams to monitor global regulatory changes and adjust contract strategies accordingly.
- Perform periodic reporting to the director of administration and sourcing about sourcing progress, cost saving achieved, major procurement activities, risks and mitigation plans.
- Performs other duties as assigned from time to time.
- Own the procurement process, including strategic sourcing and vendor management, ensuring alignment with the company’s global goals.
- Support departments in drafting request for proposals (RFPs), terms of reference, evaluation criteria and sole-source justifications.
- Evaluate supplier performance, addressing non-compliance and identifying opportunities for cost savings and service improvements.
- In coordination with the director of administration and sourcing, lead commercial negotiations with shortlisted bidders and ensure adherence to highest standards of integrity and business ethics.
- Evaluate current contract and procurement processes, identifying gaps and implementing improvements to increase operational effectiveness and standardization.
- Ensure the timely execution of contracts and that all procurement documentation is properly stored, tracked and maintained for future reference.
Qualifications
Education & Experience:
- Bachelor’s degree in Business Administration, Supply Chain Management, Legal Studies, or a related field.
- 5-7 years of experience in contract management and procurement with a focus on global operations.
- Excellent communication skills with the ability to effectively communicate and explain both verbally and in writing legal concepts and contract language to non-legal staff.
- Proven experience in drafting and managing contracts for vendors and clients.
- Experience managing procurement processes, including strategic sourcing, RFP development, and vendor selection.
- Advanced knowledge and experience within the purchasing/contracting functions.
- Strong organizational and problem-solving abilities.
Skills & Requirements:
- Certification in procurement or contract management (e.g., CIPS, CPSM, CPCM).
- Experience managing high-value, complex contracts and procurement processes across multiple regions and industries, particularly in marketing and retail.
- Proven ability to drive cost savings and value creation through strategic sourcing and contract negotiation.
- Knowledge of relevant industry standards and best practices for procurement, contract management, and vendor management.
- Experience in the marketing and digital fields, especially in procuring services from digital, marketing and production agencies.
- Strong understanding of international procurement regulations, contract negotiation, and risk mitigation strategies.
- Proficiency in procurement systems, contract management tools, and databases.
