Job summary

WorkSource Montgomery, Inc. in the DC/MD area seeks a Contracts and Grants Coordinator to support administration, fiscal monitoring, performance management, and reporting of grants, contracts, and initiatives.

You will coordinate grant requirements, monitor budgets and deliverables, and maintain data systems including CTS ATLAS, Power BI, and CRM tools. The role emphasizes audit-ready records, funder compliance, and collaboration with partners and internal teams to advance workforce development

Qualifications

  • Bachelor's degree in a related field.
  • At least two years of relevant professional experience.
  • Experience administering grants, contracts, budgets, invoices, or grant-funded programs.
  • Proficiency with Microsoft Excel and Power BI.
  • Experience with CRM, grants management, case management, or performance-management systems.
  • Experience with data management, reporting automation, or dashboard development.
  • Experience working with community-based organizations, government agencies, workforce organizations.

WorkSource Montgomery, Inc. (WSM) is a nonprofit organization and fiduciary agent for Workforce Innovation Opportunity Act funding in Montgomery County. The non-profit organization operates the American Job Centers in Wheaton and Germantown and provides employment services to county residents who are unemployed or underemployed. Additionally, WSM engages employers in various industries throughout the county to ensure that their workforce needs are being met.

Position Overview

The Contracts and Grants Coordinator supports the administration, fiscal monitoring, performance management, and reporting of grants, contracts, and strategic initiatives managed by the Strategic Initiatives & Advancement Department.

The position coordinates grant and contract requirements, monitors budgets and deliverables, supports community partners, and maintains departmental data and reporting systems, including CTS ATLAS, Power BI, and grants tracking/CRM tools.

Essential Duties and Responsibilities
  • Coordinate grants and contracts from award and execution through monitoring, reporting, and closeout.
  • Review and maintain agreements, amendments, scopes of work, required documentation, deliverables, and deadlines.
  • Support compliance with funder requirements, contractual obligations, and organizational policies.
  • Maintain accurate and audit-ready grant and contract records.
Fiscal & Performance Monitoring
  • Coordinate invoice processing and tracking activities while monitoring expenditures, budgets, and grant burn rates to ensure accurate financial reporting and compliance with funding requirements.
  • Monitor grant deliverables, milestones, outcomes, and performance measures.
  • Coordinate the reconciliation of financial and program data to ensure accuracy, identify spending variances or performance concerns, and facilitate appropriate follow-up actions with relevant stakeholders.
  • Assist with fiscal, performance, and funder reporting.
Data, Reporting & Systems
  • Maintain departmental systems for tracking grants, contracts, funding opportunities, budgets, deadlines, and performance.
  • Support Power BI dashboards and other reporting tools used for financial, grant, and performance monitoring.
  • Support the administration and continuous improvement of CTS ATLAS, including partner onboarding, utilization, data quality, and reporting.
  • Maintain the grants pipeline/CRM and track prospects, applications, awards, deadlines, and reporting requirements.
  • Support data quality, reporting automation, and process improvements across departmental systems.
Partner & Technical Assistance Coordination
  • Serve as an operational point of contact for Community Workforce Network (CWN) grantees, Community Advocates, vendors, contractors, and other partners.
  • Coordinate partner onboarding, required documentation, reporting, invoicing, and ongoing engagement.
  • Coordinate Technical Assistance meetings, workshops, trainers, vendors, materials, and event logistics.
  • Work with internal departments and external stakeholders to support effective implementation of funded initiatives.
Project & Departmental Support
  • Support strategic projects and initiatives managed by the Strategic Initiatives & Advancement Department.
  • Track project timelines, deliverables, action items, and implementation activities.
  • Prepare reports, presentations, correspondence, and briefing materials.
  • Document workflows and identify opportunities to improve departmental processes and efficiency.
  • Perform other related duties as assigned.

  • Ability to organize, validate, analyze, and communicate financial and performance data.
