Job summary

CTI Resource Management is seeking a Contracts and Admin Specialist to assist the Director of Admin and support administration, facilities and security. The role also partners with the EVP/VP of Operations to review contractual documents with government agencies and vendors.

Requirements include a high school diploma, 3–5 years’ experience, knowledge of FAR/DFARS, and eligibility for DoD Top Secret clearance.

Qualifications

  • Minimum High School Degree; and 3-5 years' experience.
  • Knowledge of FAR/DFARS is a plus.
  • Existing DoD TOP SECRET clearance considered an advantage.
  • Demonstrated skills with Microsoft Office (Word and Excel).
  • Must be detail oriented and highly organized.

Job Description

Position summary:

This position is responsible for assisting and learning from the Director of Admin in the areas of Administration, Facilities and Security. The position will also be assisting and learning from the EVP and VP of Operations in review of contractual documents with the government and other vendors with whom the company does business.

Tasks:
  • Assists in preparing weekly, quarterly, and biannual activity reports; monitors management information systems reports to ensure contract compliance.
  • Prepares various reports and correspondence including mandated reports.
  • Works closely with leadership in learning to properly review contractual documents to ensure adherence to company policy, governmental specifications and requirements as well as conformance to agreements.
  • Perform support functions of making official travel arrangements, prepare travel packages and review travel expense claims for accuracy and completeness before processing and submitting them for final approval.
  • Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
  • Compute, record, and proofread data and other information, such as records or reports.
  • Assist with quarterly audits (i.e., minor property; keys; etc.), when necessary.
  • Provides customer service with an emphasis on courtesy.
  • Assist the Executive Staff and other staff as requested.
  • Monitor the use of supplies and equipment, order supplies as necessary.
  • Reads, reviews, comprehends and is able to communicate Government requirements and regulatory guidance from various sources (FAR,DFARS).
  • Records and stores all company contracts. Facilitates new contract onboarding meetings.
  • Assists in SOP and Policy documentation using the Information Mapping methodology.
  • Assists Director of Admin in Administrative tasks.
  • Assists Director of Admin in Facility Management responsibilities including supplies and inventory management.
  • Assists Facility Security Officer in and learning the security process including knowledge of NISPOM and other regulatory processes from a corporate entity perspective.
  • Other duties as assigned.

Job Requirements

Education and Experience: Minimum High School Degree; and 3-5 years' experience. Knowledge of
DCAA and contract structure a plus. Existing Interim or Fully Adjudicated TOP SECRET security clearance
considered an advantage. Demonstrated skills in the Microsoft Suite of products, particularly Word and
Excel. Must be detail oriented and highly organized.

  • Uses good judgment, ability to make independent decisions and proactively solve problems as required.
  • Must be organized and have strong time management skills.
  • Must have PC skills (Microsoft Office).
  • Ability to interact with all levels of management and staff.
  • Strong organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment.

Security Clearance: Must be eligible to obtain, at a minimum, a DoD TOP SECRET security clearance.
