Job summary

Ici Homes Residential Holdings, Llc. seeks a Contract Department Administrator to oversee the contract administration process from execution through closing, coordinating between Sales, Legal, Finance, Closing, and Division Leadership to ensure compliance and a seamless customer experience.

You will review contracts, manage approvals, maintain documents, input data in Mark Systems, train new staff, and pursue process improvements in a fast-paced homebuilding environment.

Qualifications

• Associate’s Degree required.
• Minimum of three (3) years of contract administration, real estate, closing administration, residential construction, or related experience.
• Strong knowledge of residential purchase and sale agreements and contract documentation.
• Excellent organizational skills with the ability to manage multiple deadlines.
• Verbal and written communication skills.
• Strong analytical, problem-solving, and decision-making abilities.
• Proficiency with Microsoft Office Suite (Outlook, Excel, Word).

Responsibilities

• As Contract Department Administrator, review residential sales contracts for accuracy and compliance.
• Coordinate corrective actions with Sales, management, and stakeholders.
• Manage contract approvals and execution with timely distribution of documents.
• Maintain legal documents, HOA information, CDD documentation, and related materials.
• Serve as liaison between Sales, Closing, Legal, and Finance.
• Process cancellations, refunds, and documentation for terminated transactions.
• Track and process Sales Associate commissions.
• Maintain contract administration systems and document repositories.
• Input contract and sales data in Mark Systems.
• Provide training to new Sales Associates on procedures and policies.
• Analyze workflows and recommend efficiency improvements.
• Participate in cross-functional initiatives on compliance and sales operations.
• Support lender, buyer, and internal team requests as needed.
