Position Overview

The Contract Administrator is responsible for supporting the commercial, contractual, and compliance functions across major EPC projects. This role ensures project agreements, subcontracts, procurement documents, and change orders are developed, executed, and administered in alignment with company standards, client requirements, and applicable regulations. The ideal candidate has strong attention to detail, excellent communication skills, and experience supporting large‑scale industrial, utility, construction, or EPC project environments.

Key Responsibilities
Contract Development & Administration
  • Prepare, review, and administer project contracts, subcontracts, purchase orders, amendments, and change orders.
  • Ensure all contractual documents comply with company policies, client requirements, and legal standards.
  • Maintain accurate and organized contract records, correspondence, logs, and documentation.
  • Track contractual deliverables, milestones, obligations, insurance certificates, warranties, and notices.
Project & Commercial Support
  • Support the project team in interpreting contract terms and identifying contractual risks.
  • Facilitate communication between project management, engineering, procurement, legal, and finance teams.
  • Assist with project kickoffs by communicating contract requirements, flow‑down clauses, and compliance expectations to internal stakeholders and subcontractors.
  • Monitor contract performance and provide early identification of issues requiring management attention.
Change Management
  • Assist in the preparation, validation, and issuance of Requests for Information (RFIs), change requests, and change order packages.
  • Maintain logs for changes, claims, and associated impacts to cost or schedule.
  • Coordinate with project controls and project managers to ensure alignment between contract documents, budgets, forecasts, and schedules.
Compliance & Risk Mitigation
  • Ensure subcontractors and vendors meet contractual, insurance, bonding, and safety requirements.
  • Help identify contract risks, deviations, and non‑compliance; elevate issues to the Contracts Manager as needed.
  • Support audits, regulatory reviews, and client reporting requirements.
Procurement Support
  • Assist procurement staff with bid packages, commercial evaluations, bid tabulation, and vendor negotiations.
  • Ensure terms and conditions are properly reflected in purchase orders and subcontracts.
  • Coordinate with Accounts Payable, Accounts Receivable, and Project Controls to validate invoices, pay applications, lien waivers, and billing documentation.
  • Support project closeout activities, including final documentation, release of retainage, and contract closeout tasks.
Qualifications Required
  • Bachelor’s degree in business administration, Construction Management, Engineering, Finance, or related field (or equivalent experience).
  • 3–7 years of contract administration experience within EPC, construction, utilities, oil & gas, or industrial project environments.
  • Strong knowledge of contract terms, commercial principles, and compliance requirements.
  • Experience supporting multi‑disciplinary engineering or construction projects.
Preferred
  • Experience with EPC contract types: Lump Sum, Cost‑Plus, T&M, Unit Price, and Hybrid formats.
  • Familiarity with Owner/Engineer contracts such as AIA, EJCDC, FIDIC, or similar.
  • Proficiency in project management and procurement systems (SAP, Primavera, Ariba, Document Control tools).
  • Strong understanding of change management processes and project controls interfaces.
