Job summary

Uptime Institute seeks a Contract Compliance Specialist to support the Global Sales Team from a remote setting, with occasional visits to the Manhattan head office. You will monitor and enforce contract compliance across client engagements and coordinate with sales, finance, and delivery teams.

Uptime Institute seeks a Contract Compliance Specialist. The Proposal Operations Specialist is responsible for operations support to the Global Sales Team. Uptime Institute provides consulting services to corporations and government agencies with critical uptime needs of their data centers. Our clients include world-wide leaders from industries such as banking, insurance, healthcare, government, technology, shipping, airlines and railways, telecommunications, aeronautics, retail, and IT outsourcing.

Duties and Responsibilities:

  • Monitor and Enforce contract compliance
  • Examine customer contracts to ensure they contain necessary clauses, meet all internal and external requirements and align with the organization’s goals.
  • Apply redlines to agreements
  • Conduct internal and external audits of contracts to identify and investigate discrepancies.
  • Identify potential risks associated with non-compliance, elevate significant issues, recommend practical mitigations, and develop strategies to minimize them.
  • Maintain accurate records of contract performance, compliance activities and audit findings
  • Coordinate with sales, business operations, finance, and delivery teams to ensure consistent applications of compliance standards, resolve contractual issues, obtain required approvals, and support timely contract execution
  • Align and resolve contractual terms with Sales, Executives, and Client
  • Develop, document, and improve contract management policies, guidelines, templates, playbooks, and standard operating procedures in conjunction with Executives, functional leads, and sales managers.
  • Prepare periodic compliance reports and metrics for leadership, highlighting trends, exceptions, and areas for process improvement.
  • Support internal and external audits by preparing documentation, responding to information requests, and evidencing adherence to contractual and compliance controls.
  • Develop mechanism for ensuring Standard Sales Price (SSP) compliance for all proposals and contracts and ensure ongoing compliance.

Required Qualifications:

  • 5+years’ experience in contract administration, contract compliance, or legal/commercial operations supporting a global sales organization, including reviewing and redlining customer agreements
  • Working knowledge of standard commercial contract terms and the ability to identify missing, non-standard, or non-compliant clauses and propose practical alternatives
  • Demonstrated ability to identify compliance and contractual risk, elevate significant issues, and recommend workable mitigations rather than blanket objections
  • Experience supporting internal and external audits — investigating discrepancies, preparing documentation, responding to information requests, and evidencing adherence to contractual controls
  • Experience drafting or maintaining contract policies, templates, playbooks, and standard operating procedures
  • Experience preparing recurring compliance reports and metrics for leadership, including trend and exception analysis
  • Familiarity with pricing-governance controls such as standard price lists, discount thresholds, and approval workflows
  • Familiarity with Salesforce.com or comparable CRM System: objects, data quality, custom workflows, reporting, and dashboard tools
  • Experience with Salesforce CPQ or comparable tool
  • Familiarity with contract lifecycle management (CLM) and e-signature platforms, and with maintaining accurate contract and compliance records
  • Exceptional attention to detail
  • Experience with Microsoft Office
  • Ability to coordinate with multiple stakeholders and to align and resolve contractual terms across Sales, Executives, and clients
  • Sound judgment and the confidence to hold to policy under commercial pressure while maintaining strong working relationships
  • Ability to multitask

Please note : This is a remote based role, however you may on occasion need to be available to work from Uptime's Head office in Manhattan, New York.
