Job summary

University of Rochester is seeking an experienced procurement professional to support contracting and vendor management. You will develop SOWs, RFIs, RFQs, and RFPs, negotiate terms, and manage contract amendments and renewals.

Qualifications

  • Bachelor's degree or equivalent required.

$61,000.00 - $85,400.00

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Participates in the development and fulfillment of contract requirements in the purchase or sale/delivery of equipment, materials, products, or services. Evaluates contract compliance and advises others on contractual rights and obligations. Requests amendments to contract terms or contract extensions. Participates in bids or requests for proposals (RFPs), including specifications and requirements. Assists with negotiating contract terms and participates in the determination of acceptable bids.

ESSENTIAL FUNCTIONS
  • Works alongside procurement to assist with developing statements of work (SOWs), requests for information (RFIs), requests for quotations (RFQs), and requests for proposals (RFPs) that are needed to fill a sourcing need. Understands the scope and purpose of the agreement and seeks to modify it appropriately to fit University standards and requirements.
  • Owns the process and executes contract amendments, change orders, license renewals, and audits for agreements. Participates in the validation, selection, and award processes to ensure compliance with guidelines. Reviews all new projects that require external vendor support. Ensures complete contract SOP has been followed and all required aspects are completed.
  • Understands differences between agreement types and appropriately utilizes agreements. Acts as SME and advises others as needed on the use of appropriate agreements. Negotiates new ventures, amendments, terminations, and maintenance of vendor agreements in cooperation with procurement, legal, and stakeholders to ensure they are current, up-to-date, and compliant with relevant laws and regulations as well as University requirements. Understands commercial terms and implications. Applies appropriate pressures to respective parties. Identifies the most effective negotiation tactics.
  • Manages and oversees the creation and maintenance of a repository of vendors in a contract management database or similar solution to track key engagement milestones such as expirations and renewals. Segments and rationalizes the vendor portfolio so appropriate focus can be applied to the most strategically important vendor relationships/engagements. Determines contract tiers and objectives to be assigned to each tier.
  • Manages communication with vendors, managing contract disputes, and engages legal team when necessary.
  • Maintains professional relationships with project managers.
  • Other duties as assigned.
MINIMUM EDUCATION & EXPERIENCE
  • Bachelor's degree and 2 years of relevant experience required
  • Or equivalent combination of education and experience
