Qualifications

  • Excellent written and verbal communication with stakeholders at all levels.

Responsibilities

  • Administer the end-to-end contract lifecycle: intake, review routing, approvals, execution, renewal, archival.
  • Maintain and version-control the vendor management system and documentation.

  • Coordinate amendments and renewals with vendors and the Vendor Management Team.

Contract Administrator

As a Contract Administrator at HoganTaylor, you’ll play an important role in protecting the firm, supporting sound business decisions, and helping our teams work effectively with the vendors and partners who support our business. Working closely with the Director of Data Management & Privacy and the Vendor Management Team, you’ll help manage contracts and agreements from intake through renewal and archival, ensuring they align with HoganTaylor’s risk management, data governance, privacy, and compliance expectations. You’ll also partner with teams across the firm to operationalize approved agreements, monitor important obligations and deadlines, and continually improve the processes that make contract management more efficient. What You’ll Do
Contract Lifecycle Management
  • Administer the end-to-end contract lifecycle, including intake, review routing, approvals, execution, renewal, and archival.
  • Maintain the firm’s vendor management system, ensuring contracts and supporting documentation are accurate, accessible, current, and properly version-controlled.
  • Track renewal dates, expiration timelines, termination windows, key obligations, and other critical contractual milestones.
  • Coordinate amendments, addendums, and renewals with vendors and the Vendor Management Team.
  • Help ensure contracts move efficiently through the appropriate review and approval processes.
Review & Compliance Support
  • Support contract reviews by gathering required information, coordinating discussions with stakeholders, and confirming that necessary terms and documentation are included.
  • Help ensure agreements align with HoganTaylor policies, legal requirements, and applicable privacy, confidentiality, security, and compliance expectations.
  • Assist with obtaining and maintaining vendor documentation, including SOC reports, privacy and security questionnaires, insurance certificates, and compliance attestations.
  • Identify potential risks, missing information, or inconsistencies and appropriately elevate issues to leadership.
  • Perform quality checks to ensure contract and compliance documentation is complete, accurate, and organized.
  • Assist with reviews of systems, records, and logs to help ensure sensitive information is handled confidentially and in accordance with firm policies.
  • Support vendor onboarding activities and ensure required contract and compliance materials are completed.
  • Communicate contract status, timelines, outstanding actions, and upcoming deadlines to the Vendor Management Team and management.
  • Build positive, professional relationships with internal stakeholders and external vendors through timely and responsive communication.
  • Complete monthly reconciliation of credit card charges for the Vendor Management Team.
Process Improvement & Documentation
  • Contribute to the development and maintenance of standard operating procedures, templates, workflows, and other contract management resources.
  • Identify opportunities to streamline contract review, approval, and documentation processes.
  • Help create consistent, efficient processes that enable our teams to equip our clients while managing risk effectively.
  • Support audits, compliance reviews, and internal assessments by providing accurate and timely documentation and reports.
Reporting & Tracking
  • Maintain compliance calendars and track regulatory deadlines, contractual milestones, and required follow-up activities.
  • Prepare periodic reports on contracts, renewals, upcoming deadlines, compliance documentation, and other key metrics.
  • Monitor the progress and performance of contract-related activities and communicate status updates to appropriate stakeholders.
  • Provide leadership with accurate information and data to support risk assessments, planning, and performance evaluations.
Team & Administrative Support
  • Manage calendars, schedule meetings, and coordinate virtual appointments for the Compliance and Vendor Management teams.
  • Prepare and format internal documents, presentations, reports, and other business materials.
  • Capture meeting notes and distribute action items and follow‑up responsibilities.
  • Manage email correspondence, digital files, folders, and other documentation.
  • Track internal task lists and project timelines to help keep priorities moving forward.
What You Bring
  • Bachelor’s degree or equivalent combination of education and relevant work experience in Business, Legal Studies, Information Management, or a related field.
  • 2+ years of experience in contract administration, procurement, vendor management, compliance support, or a related role.
  • Strong organizational skills and exceptional attention to detail, with the ability to manage multiple contracts, deadlines, priorities, and stakeholders simultaneously.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with individuals at all levels of an organization.
  • Strong follow-through and a proactive approach to identifying needs, resolving issues, and keeping work moving.
  • Comfort working in a cross-functional environment and collaborating with a variety of departments and stakeholders.
  • Experience maintaining structured documentation and working with contract management, vendor management, or related processes and tools.
  • Proficiency with Microsoft Office Suite, particularly Word, Excel, Outlook, and SharePoint.
  • Experience with project management tools such as Asana, Trello, or similar platforms is a plus.
  • A high level of integrity and discretion when working with confidential, sensitive, and proprietary information.
It’s a Plus If You Have
  • Experience with technology, privacy, data governance, information security, or related terminology.
  • Familiarity with common contract terms and clauses, including confidentiality, data protection, indemnification, and related provisions.
  • Experience with Contract Lifecycle Management (CLM) systems or procurement/vendor management platforms.
  • Understanding of regulatory and compliance requirements relevant to contracts and vendor relationships.
  • Experience working in public accounting, professional services, or another highly regulated environment.
  • An interest in continuously learning and developing expertise in contract management, privacy, risk, and vendor governance.
