Job summary

Allied Fire Protection is seeking a Corporate Contract Administrator in Pearland, TX. You will monitor contract initiation through execution, ensuring accurate modifications, approvals, and compliance with company policies while interfacing with customers on service-related contractual questions.

Responsibilities include reviewing contracts, maintaining documentation, coordinating with departments, and implementing e-contracting for applicable services.

Qualifications

  • High School diploma or equivalent.
  • 3 to 5 years of similar or related experience.
  • Construction experience is a plus.
  • Legal background is a plus.
  • AIA Contracts preferred.

Responsibilities

  • Review, interpret and describe modifications to standard and non-standard services contracts.
  • Compare contract scope to proposal to ensure consistency.
  • Flag concerns or discrepancies in contracts for review and approval.
  • Assist with customer accounts with varying and demanding service requirements.
  • Ensure proper approvals are collected on contracts in line with policies.
  • Follow-up on contracts to ensure proper execution within two weeks of mailing to the customer.
  • Maintain and track status of contract documents.
  • Coordinate with customers to ensure contracts are executed prior to service.
  • Create and maintain Schedule of Values for each contract.
  • Scan, log, and file all contractual documents and correspondence.
  • Partner with customers to implement e-contracting for applicable services.
  • Request Certificates of Insurance as needed.
  • Create and renew subcontracts including Certificates of Insurance and Workers’ Compensation checks.
  • Calculate credit exposure and gather approvals from required parties.
  • Maintain accurate rates, points, contract volumes, and other data in transactional database.
  • Work with customers on creating capacity release transactions online and awarding releases.
  • Partner with customers on processing name changes and assignments.
  • Coordinate with multiple departments to provide information regarding invoicing and reports.
  • Act as point of contact for customer and commercial questions related to obtaining service and policies.

JOB DESCRIPTION
Position Summary

Under the direction of the Chief Administrative Officer, the Contract Administrator is responsible for monitoring the overall process of contract initiation, review, execution, and confirmations.

Job Responsibilities include but are not limited to:

Knowledge:
  • High School diploma or equivalent required
Work Experience:
  • 3 to 5 years of similar or related experience
  • Construction experience is a plus
  • Legal background is a plus
  • AIA Contracts preferred
Skills and Competencies:
  • General understand of contractual agreement types, contract verbiage and the underlying economic value of products, services, risks and obligations.
  • Excellent written, verbal and communication skills.
  • Detail oriented with excellent organization skills.
  • Proficient in working with Microsoft Office Products.
  • Strong analytical and customer service skills
