Job summary

Boulder Imaging is seeking a Contract Administrator to support the sales team as we expand our high-performance machine vision systems and IdentiFlight technology globally. The role requires meticulous attention to detail, strong negotiation skills, and the ability to synchronize activities across Legal, Accounting, Sales, and Project Management.

The ideal candidate will thrive in a fast-paced, international environment, draft and review a range of agreements, and contribute to process

Qualifications

  • Contract drafting and review experience.
  • Prepare, review, edit sales, lease, service, purchase, and NDA agreements.
  • Ensure contract language is clear and aligned with policies.
  • Support negotiations with redlines and stakeholder comments.
  • Maintain centralized contract records in CM system.
  • Track key dates and notify stakeholders in advance.
  • Archive signed copies and documentation properly.
  • Verify contracts comply with laws, export controls, and policies.
  • Coordinate with Legal, Accounting, Sales, and Project Management.
  • Flag risks and escalate to management.
  • Cross-functional coordination with PM, Accounting, and Professional Services.
  • Assist international partners with documentation and templates.
  • Contribute to training on contract procedures and best practices.
  • Maintain and update templates and checklists.

Responsibilities

  • Draft, review, and negotiate contracts to protect company interests.
  • Maintain and organize contract records in the CM system.
  • Monitor key dates, milestones, and renewals; alert stakeholders.
  • Ensure compliance with laws and company policies; assess risk.
  • Collaborate with Legal, Accounting, Sales, and PM teams to fulfill obligations.
  • Support process improvements and template updates.

Boulder Imaging is seeking a Contract Administrator to support the sales team at Boulder Imaging as we look to expand the deployment of our high-performance machine vision systems and IdentiFlight technology. The ideal candidate will be detail-oriented, organized, and comfortable working in a fast-paced, international business environment with complex technical and commercial agreements.

Requirements
  • Contract Drafting and Review.
  • Prepare, review, and edit standard sales, lease, supply, service, purchase, and non-disclosure agreements.
  • Ensure contract language is clear, accurate, and aligned with company policies.
  • Support negotiations by drafting redlines and consolidating comments from stakeholders.
  • Contract Administration and Tracking.
  • Maintain centralized contract records in the company’s contract management system.
  • Track key dates (deliverables, renewals, milestones, payments) and notify stakeholders in advance.
  • Ensure signed copies and supporting documentation are properly archived.
  • Compliance and Risk Support.
  • Verify that contracts comply with applicable laws, export controls, and company policies.
  • Coordinate with Legal, Accounting, Sales, and Project Management to ensure obligations are met.
  • Flag risks or inconsistencies for escalation to management.
  • Cross-Functional Coordination.
  • Work closely with Project Management, Accounting, and Professional Services teams to align contract terms with operational capabilities.
  • Support international business partners with documentation, contract templates, and compliance guidance.
  • Assist Sales and Project Management with customer communication related to contractual obligations.
  • Continuous Improvement.
  • Maintain and update contract templates and checklists.
  • Support implementation of process improvements in contract administration and recordkeeping.
  • Contribute to training for staff on contract procedures and best practices.
Qualifications and Skills
  • Strong attention to detail.

  • Excellent organizational skills.
  • Ability to collaborate across departments (Sales, Legal, Project Management, Accounting).
  • Expertise in legal contract terms, negotiation, and document management tools.
  • Proficient with Microsoft Office products: Word, PowerPoint, Excel, SharePoint.
  • Experience with Contract Management Systems.

Education and Work Experience
  • Bachelor’s degree in Business Administration, Legal Studies, International Relations, Supply Chain Management/Logistics, or related field.
  • 5+ years experience in contract administration, preferably in a manufacturing, engineering, or technology company
