Qualifications

  • 2+ years in HR operations, staffing/recruiting operations, or program coordination.
  • Experience with a VMS or HRIS (VNDLY, Workday, Fieldglass, Beeline or similar).
  • Organized, detail‑oriented with strong judgment and privacy.
  • Time‑sensitive and responsive handling of questions from employees and partners.
  • Customer service oriented with ability to multitask.
  • Fluent in Google Workspace and Slack; interest in automation/AI.
  • Staffing industry or contingent workforce program experience is a plus.

Responsibilities

  • Process contingent worker lifecycle events in VNDLY: records, onboarding/offboarding, extensions, profile changes.
  • Own VMS record administration end to end, including new vendor setup.
  • Coordinate day‑one readiness for new contractors: system access, badges, communications.
  • Support onboarding for contingent workers: logistics and coordination with People Services.
  • Handle intake via CW inbox, Jira queue, and Slack; maintain SLA response times.
  • Support finance: chase timesheets, resolve billing questions, flag discrepancies.
  • Keep rosters reconciled across VNDLY, Workday, and vendor systems; pull data for monthly reports.

Job description

Contingent Workforce Coordinator Duration: 12 months (With possibility of extension) Location: New York City, NY Hybrid - NY preferred. 25% onsite preferred or Remote

Pay Rate Range: $70-$75/hr, depending on experience

Russell Tobin is partnering with a leading technology company to hire a Contingent Workforce Program Coordinator to support the day-to-day operations of a growing contingent workforce program.

This role will be responsible for managing the end-to-end contingent worker lifecycle, including VNDLY administration, worker record creation, work orders, onboarding and offboarding, assignment extensions, profile updates, and vendor coordination. The coordinator will also support contractor day‑one readiness, troubleshoot worker and vendor requests, manage intake through inboxes and ticketing systems, and help resolve timesheet, billing, and invoicing issues.

The ideal candidate will have hands‑on VNDLY or VMS experience, with a background in contingent workforce, staffing operations, vendor management, HR operations, or contractor program coordination. Experience with Workday, Fieldglass, Beeline, Jira, Slack, and staffing/vendor management is highly valued.

Responsibilities
  • Process contingent worker lifecycle events in VNDLY: worker record creation, work orders, onboarding and offboarding tasks, extensions, assignment updates, and profile changes (including vendor‑to‑vendor transitions)
  • Own VMS record administration end to end, including new vendor setup and records currently processed by People Services
  • Coordinate day‑one readiness for new contractors: system access requests, equipment, badge logistics, and manager communications; run offboarding checklists and confirm access termination on final days
  • Support the contractor onboarding experience, including the new‑hire onboarding (NHO) track for contingent workers: session logistics, materials distribution, and coordination with People Services and the onboarding team
  • Own front‑line triage across the program's intake surfaces: the CW inbox, the Jira ticket queue, and Slack requests. Answer routine questions from the CW Toolkit, resolve or route tickets with context, and keep response times inside SLA
  • Support finance and billing operations: chase and correct timesheets, run first‑touch traces on payment and billing questions (timesheet to approval to invoice to PO), flag invoice discrepancies and coding issues in Zip, and partner with Finance and vendors through to resolution
  • Keep rosters reconciled across VNDLY, Workday, and vendor systems; pull data for monthly program reporting
Requirements
  • 2+ years in HR operations, staffing/recruiting operations, or program coordination
  • Experience with a VMS or HRIS (VNDLY, Workday, Fieldglass, Beeline or similar) strongly preferred
  • Are organized and detail‑oriented, with excellent professional judgment. You will manage time‑sensitive and critical processes related to compensation, performance, and compliance, and handle our worker data with the utmost care — ensuring accuracy as well as privacy.
  • Are reliable and responsive. You will be fielding time‑sensitive and urgent questions and requests from employees and People team partners.
  • Have excellent communication skills for coordinating with cross‑functional partners.
  • Are able to manage multiple deadlines and prioritize effectively — especially in a fast‑paced environment where priorities shift.
  • Are customer service‑oriented. You consider internal teams as "clients " for whom you want to provide a great experience, and you take a flexible and creative approach to problem‑solving.
  • Fluent in Google Workspace (Docs, Sheets) and Slack. Interest in using automation and AI to improve day‑to‑day processes
  • Staffing industry or contingent workforce program experience is a plus
