Job Title: Chief Administrative Officer

Arootah services include:

  • Providing expert advisors in key operational areas to emerging/established Investment firms
  • Coaching in executive and career development
  • Advising clients on Capital Introduction and Raising for Emerging Managers
  • Investing in a portfolio of public and private companies that make a positive impact
  • Building SaaS applications for enterprise and consumer use
  • Providing Talent Acquisition and Development services to the financial industry
What we are looking for:

We seek pragmatic Chief Administrative Officers to work with our growing list of prestigious clients. This role focuses on streamlining our administrative functions, ensuring efficiency without unnecessary complexity.

Responsibilities:
  • Oversee scheduling and time management to ensure productivity
  • Develop and maintain business plans, mission statements, and practical project plans
  • Generate straightforward reports on actions, time budgets, and priorities
  • Manage software tools like Timely and Click Up for time tracking and task management
  • Analyze budget versus actual time usage and investigate discrepancies
  • Ensure team accountability and compliance with time management practices
  • Oversee the implementation and optimization of technology tools
  • Streamline operations through continuous process improvement
  • Manage financial aspects of resources and time, including the chart of accounts
  • Maintain and update procedural manuals
  • Design and maintain concise weekly management reports
  • Prepare clear agendas for meetings
  • Document decisions and their rationale
  • Track and record follow-ups for tasks
Qualifications:
  • Bachelor's degree in accounting, business administration, or related field
  • PMP (Project Management Professional) certification is required
  • CPA or Scrum Master certification is a significant plus
  • Proven experience in a Family Office or Hedge Fund setting, with familiarity in Click Up and Timely or similar tools
  • Excellent communication and follow-up skills
