Job summary

Clayco is seeking a detail-oriented Document Control Specialist to support large-scale project operations in a fast-paced environment. This role expands into Quality Control and requires coordinating document flow, testing certificates, checklists, and related quality metrics across projects.

The position involves maintaining electronic filing systems, logging documents, and ensuring adherence to Clayco standards while interfacing with project teams and subcontractors nationwide.

Qualifications

• Two-year degree in business administration or related associates degree preferred.
• Years’ experience considered in lieu of degree.
• Excellent computer skills, including Word, Excel, and Outlook, and willingness to update skills.
• Excellent communication skills, both oral and written.
• Excellent listening skills with attention to detail.
• Able to be flexible with work hours.
• Experience in the construction industry is a plus.

Responsibilities

• Maintain electronic project files and folder structures across multiple platforms.
• Transfer data between owner’s software and Clayco’s software as needed.
• Receive and review test reports; notify team of issues or grammatical corrections.
• File test reports in correct locations to maintain folder structures.
• Assist in ensuring checklists and test reports reference applicable assets.
• Manage workflows for standardized processes with project team direction.
• Enter new companies/individuals in project controls software and manage permissions.
• Assist in creating project reports and summarize quality metrics.
• Maintain company standards and ensure adherence across teams.
• Assist in data searches of previous projects and lessons learned.
