Job summary

Air Systems is seeking a Project Coordinator to support our Construction unit in San Jose. You will assist Project Managers with project administration, scheduling, procurement, and documentation to help ensure projects are completed on time and within budget.

The role requires strong organizational skills, attention to detail, and a collaborative mindset as you interact with customers, subcontractors, and internal teams.

Qualifications

• 2+ years of project coordination or construction administration experience.
• Experience in commercial construction or related trades preferred.
• Proficient in Microsoft Office (Excel, Word, Outlook).
• Experience with ERP/CMMS software is a plus (COINS, Procore, PlanGrid).

Responsibilities

• Support Project Managers in day-to-day administration of construction projects.
• Assist with project start-ups, close-outs, and project documentation.
• Coordinate project schedules, meetings, and communication between project stakeholders.
• Track project milestones, deadlines, and deliverables.
• Create and maintain project files, contracts, change orders, submittals, RFIs, and closeout documentation.
• Assist with procurement activities, including material orders and subcontractor coordination.
• Monitor project costs and support project financial reporting.
• Coordinate labor, equipment, and material resources to support project execution.
• Assist with estimating and proposal preparation as needed.
• Work closely with Accounting to support billing, invoicing, and project reporting requirements.
• Maintain accurate records within company systems and software platforms.
• Attend project meetings and distribute meeting notes and action items.
• Develop and maintain positive relationships with customers, vendors, subcontractors, and internal teams.
• Escalate project issues and risks to management in a timely manner.
• Support department and company goals while maintaining a strong customer-service focus.
• Other tasks as assigned.

Qualifications

• Experience in commercial construction, mechanical, electrical, HVAC, plumbing, or related trades preferred.
• Proficient in Microsoft Office Suite, particularly Excel, Outlook, Word, and Teams.
• Experience with ERP systems, COINS, Procore, PlanGrid, or similar construction management software is a plus.
• Strong organizational and time-management skills.
• Ability to manage multiple priorities and competing deadlines.
• Excellent verbal and written communication skills.
• Strong attention to detail and problem-solving abilities.
• Customer-focused with a collaborative team-oriented mindset.
• Ability to work independently and exercise sound judgment.

Competitive Salary

$35 - $45 per hour based on experience.
