Job summary

Tecta America Commercial Roofing in Deerfield Beach, FL seeks a Construction Administrative Assistant to support Project Managers and teams across administrative tasks. You will manage documents, submittals, permits and pay requisitions to ensure project profitability, accuracy and timely customer communication.

Minimum three years in construction, strong Excel skills (must), experience with Purchase Orders, a valid driver’s license, and willingness to visit job sites to keep projects on track.

Qualifications

• Minimum three years of construction industry experience.
• Experience with purchase orders (POs).
• Proficiency in Microsoft Word, Excel, and PowerPoint (Excel must).
• Valid driver’s license.
• Comfortable visiting actual job sites.
• Ability to speak, read and comprehend instructions and policy documents.

Responsibilities

• Coordinate project documents, information, and materials for project profitability.
• Review the Job Hand Off Package with PM, Estimator and Operations Manager.
• Create and control the Job File contents including contracts, insurances, licenses, and bonds.
• Prepare submittal packages and ensure delivery to GC or customer.
• Order materials using approved PO procedures and cost codes.
• Assist Superintendent with mobilization and project needs.
• Prepare Direct Purchase by Owner, OCIPs and MCIPs; change orders as needed.
• Coordinate pay requisitions and progress invoicing; ensure close out within 2 weeks of final billing.
• Maintain professional appearance and conduct; perform related duties as assigned.
