Job summary

VAI Resort in Glendale, AZ is seeking a Construction Project Coordinator to provide administrative and coordination support to the Development Team and Fisher Construction.

This onsite role will manage project documentation, schedules, contracts, and reporting, helping keep one of Arizona's largest projects moving forward with a fast-paced, collaborative team.

Qualifications

  • Two or more years of experience supporting commercial construction, engineering, development, or project management teams preferred.
  • Experience with RFIs, submittals, change orders, contract administration, and construction documentation preferred.
  • Familiarity with blueprint reading, construction methods, and project scheduling is a plus.
  • Experience with Autodesk, Bluebeam, Microsoft Project, or similar construction management software is preferred.

Responsibilities

  • Provide day-to-day administrative support to the Development Team, Project Managers, and Field Engineers.
  • Maintain project files, contract documents, drawings, specifications, correspondence, and construction records.
  • Track RFIs, submittals, change orders, addenda, and project documentation to ensure timely follow-up.
  • Coordinate project schedules, meetings, agendas, and meeting minutes while maintaining action item logs.
  • Process project timecards, cost coding, and support monthly progress payment requests.
  • Assist with cost tracking, project reporting, and document control to support effective project management.
  • Coordinate project correspondence between VAI Resort, Fisher Construction, subcontractors, consultants, and vendors.
  • Support project accounting by coordinating payables, receivables, invoices, and purchasing documentation.
  • Expedite submittals and maintain accurate status reports to help keep construction activities on schedule.
  • Build positive working relationships with project teams, subcontractors, and business partners while delivering exceptional customer service.
  • Support additional administrative and project coordination activities as needed throughout the development and pre-opening phases.

Job description

Building VAI Resort takes more than cranes and concrete, it takes exceptional organization, communication, and teamwork behind the scenes. As the Construction Project Coordinator, you'll help keep one of Arizona's largest construction projects moving forward by providing administrative, project coordination, and operational support to the Development Team and our construction partner, Fisher Construction.

Working onsite in Glendale, you'll serve as a key connection between the field and the office, helping manage project documentation, schedules, contracts, reporting, and communications that keep construction teams aligned and productive. What You'll Do

Provide day-to-day administrative support to the Development Team, Project Managers, and Field Engineers.

Maintain project files, contract documents, drawings, specifications, correspondence, and construction records.

Track Requests for Information (RFIs), submittals, change orders, addenda, and project documentation to ensure timely follow-up.

Coordinate project schedules, meetings, agendas, and meeting minutes while maintaining action item logs.

Process project timecards, cost coding, and support monthly progress payment requests.

Assist with cost tracking, project reporting, and document control to support effective project management.

What You Bring

Outstanding organizational skills with exceptional attention to detail.

Ability to manage multiple priorities while meeting deadlines in a fast-paced construction environment.

Strong written and verbal communication skills with the ability to build positive working relationships.

Working knowledge of construction terminology, plans, specifications, contracts, and project documentation.

Experience with document control, project coordination, scheduling, and cost tracking.

Proficiency in Microsoft Office, Adobe Acrobat, and construction management software.

Ability to maintain confidentiality while handling sensitive business information.

Positive attitude, strong work ethic, and willingness to support the team wherever needed.

Adaptability and flexibility to support evolving priorities during a large-scale construction project.

Education | Experience

Physical Requirements

Ability to work onsite in Glendale, Arizona.

Ability to sit, stand, and walk for extended periods throughout office and active construction environments.

Ability to occasionally climb stairs and navigate construction sites while following required safety protocols.

Ability to lift, carry, or move office materials weighing up to 25 pounds.

Frequent use of computers, phones, printers, and other office equipment
