Our Development & Construction department in Phoenix has 30 members. You will join as one of 7 Project Assistants supporting our department locally, supporting the West Valley, which includes 6 hospitals and numerous clinics. While not directly patient-facing, our work supports care delivery by building and renovating clinical spaces such as operating rooms, Cath labs, emergency departments, and clinics. Projects range from large-scale hospital constructions to small upgrades like replacing an Air Handling Unit. As a Project Assistant, you will support various projects, ensuring safe patient care through your contributions.

Schedule: Monday - Friday, 8 hours/day. Start time flexible between 6:00am and 8:00am AZ time.

This position is primarily remote.

Position Summary

This role handles project accounting, administrative support, and coordination for multiple construction projects and teams, typically supporting 20-30 projects depending on complexity.

Core Functions
  1. Acts as a gatekeeper and point of contact for all project activity, maintaining electronic and hard copy files, including budgets, contracts, and documentation. Reconciles costs monthly.
  2. Creates and maintains project files from inception to closeout, including plans, scopes, drawings, budgets, permits, change orders, invoices, schedules, and closeout documents.
  3. Generates reports for tracking and reporting project activity, working with teams on cost forecasts and cash flows.
  4. Coordinates with departments, staff, vendors, contractors, and regulatory agencies for project activities.
  5. Processes pay applications, contractual commitments, amendments, change orders, and invoices, ensuring proper authorization and compliance.
  6. Schedules and coordinates project meetings and RFP processes, ensuring proper notices and attendance.
  7. Engages with facility personnel, physicians, architects, contractors, vendors, and consultants.
Minimum Qualifications
  • High school diploma or GED or equivalent experience.
  • At least three years of experience in a complex office environment supporting administrative, ordering, and cost management functions.
  • Ability to work independently, exercise judgment, communicate effectively, organize, problem-solve, and handle multiple deadlines. Proficient in data entry and software tools.
Preferred Qualifications
  • Experience with construction or design project management software (e.g., e-Builder) and project budgeting.
  • College education or degree preferred.
  • Basic cost accounting and bookkeeping experience, including budget reconciliation.
