Qualifications

• 3+ years of construction accounting, bookkeeping, accounts payable, job costing, or related experience.
• Proven experience with QuickBooks and Buildertrend in a construction setting.
• Strong understanding of payables, purchase orders, job costing, construction draws, and reconciliations.
• Experience working with subcontractors, vendors, and project managers.

Responsibilities

• Process vendor and subcontractor invoices with PO/contract/budget accuracy.
• Prepare weekly vendor/subcontractor payment runs for management review.
• Maintain job-cost records, POs, invoices, receipts and project transactions.
• Issue POs and resolve billing discrepancies with project managers.
• Manage vendor documents (W-9s, COIs, 1099 prep).
• Prepare client invoices, change orders, and draw requests; track AR and payments.
• Perform bank and credit card reconciliations and month-end entries.
• Maintain tax and insurance documentation and accounting files.
• Assist Controller with financial reporting and schedules.

About the Opportunity

Construction Accounting Specialist

We are seeking a detail-oriented and organized Construction Accounting Specialist to support the day-to-day accounting operations of a growing residential construction company. This position will be responsible for accounts payable, purchase orders, job costing, vendor management, client billing, and construction draws.

The ideal candidate will have a strong background in construction accounting, experience with QuickBooks and Buildertrend, and the ability to work closely with project managers and accounting leadership to ensure accurate financial records and timely processing of transactions.

Key Responsibilities

• Process vendor and subcontractor invoices, ensuring accuracy with purchase orders, contracts, project budgets, and job-cost codes.

• Prepare weekly vendor and subcontractor payment runs for management review and approval.

• Maintain accurate job-cost records, purchase orders, invoices, receipts, and project transactions using QuickBooks and Buildertrend.

• Issue and track purchase orders, working closely with project managers to resolve billing discrepancies and budget concerns.

• Manage vendor documentation, including W-9s, certificates of insurance, and annual 1099 preparation.

• Prepare client invoices, change orders, and construction draw requests while tracking accounts receivable and incoming payments.

• Perform bank and credit card reconciliations, journal entries, and assist with month-end accounting activities.

• Maintain property tax records, insurance documentation, and organized accounting files.

• Support the Controller with accurate financial information, reporting schedules, and general accounting needs.

Qualifications

• 3+ years of experience in bookkeeping, accounts payable, job costing, or construction accounting.

• Custom residential construction accounting experience strongly preferred.

• Working knowledge of QuickBooks and Buildertrend.

• Strong understanding of accounts payable, purchase orders, job costing, construction draws, and reconciliations.

• Experience working with subcontractors, vendors, and project managers.

• Excellent attention to detail, organizational skills, and ability to manage multiple priorities.

• Strong communication skills and a proactive, team-oriented approach.

• Ability to work independently while maintaining accuracy and meeting deadlines.
