Job summary

The Fish & Wildlife Foundation of Florida seeks a Government Programs Coordinator to support its conservation initiatives. You’ll admin grants, procurements, and contracts, coordinating with Project Directors and Finance to ensure compliant, timely project delivery.

You’ll develop and oversee procurement strategies, reporting, and documentation, enabling staff to focus on technical conservation outcomes and partnerships.

Qualifications

• Bachelor's degree plus 3–5 years in grants, contracts, procurement, or related programs.
• Experience administering complex grants, contracts, or funded programs.
• Experience planning competitive procurements (RFPs/ITBs/RFQs).
• Experience preparing reports, reimbursements, and compliance deliverables.
• Knowledge of grant/contract administration, procurement, and controls.
• Strong PM and organizational skills with deadlines.
• Detail-oriented with audit-ready documentation.
• Excellent written and verbal communication.
• Ability to collaborate with internal staff and external partners.
• Florida procurement/state grant knowledge desirable.
• Knowledge of conservation/environmental programs preferred.

Responsibilities

• Administer legislative appropriations, grants, and funding agreements, ensuring compliance.
• Lead procurement activities: planning, documentation, evaluation, and files.
• Provide guidance on procurement requirements and contracts to staff.
• Prepare and submit grant reports, reimbursements, invoices, and amendments.
• Maintain compliance with funding agreements and donor requirements.
• Manage contract execution, amendments, insurance, and files.
• Maintain project budgets and financial records with Finance.
• Develop and maintain project schedules, milestones, and risk logs.
• Maintain project management software and central records.
• Prepare executive summaries, dashboards, and agency reports.
• Establish project files, reporting schedules, and workflows.
• Coordinate among Project Directors, Finance staff, contractors, partners.
• Identify opportunities to improve processes.
• Develop SOPs, templates, and guidance documents.
• Maintain institutional knowledge of initiatives and funding requirements.
• Represent the Foundation in meetings with partners.
• Perform other duties as assigned.
