Job summary

ADERO Scottsdale Resort in Scottsdale, AZ seeks a Conference Services Manager to lead planning for assigned groups, coordinating with sales, operations and banquets to deliver flawless events.

You will detail events, produce BEOs and timelines, manage room blocks, supervise setup and on-site service, and build strong relationships with planners and local vendors to enhance our luxury destination experiences.

Qualifications

  • Two+ years of experience in conference services, event management, or catering services, preferably within a full-service hotel or luxury resort.
  • Hands-on experience with event planning and detailing systems, including creating accurate event diagrams and floor plans with event diagramming software.
  • Strong knowledge of banquet operations, food and beverage service, event setups, and overall hotel operations.
  • Strong organizational, client service, and coordination skills.
  • Ability to communicate effectively with guests and team members.
  • Physical ability to perform the essential functions of the role, with or without reasonable accommodation.

Responsibilities

  • Serve as the primary contact for assigned groups and events, managing each program from turnover through departure.
  • Lead planning meetings, walk-throughs, and pre-cons to understand client objectives, preferences, and special requests.
  • Detail events and produce accurate, timely BEOs, resumes, function schedules, and timelines, including room blocks, setups, and event diagrams.
  • Coordinate delivery with Banquets, Culinary, and all other departments, communicating requirements and changes clearly and promptly.
  • Oversee setup, execution, and breakdown, inspecting spaces and upholding safety, brand, and luxury resort standards throughout the event.
  • Remain visible during programs, anticipating challenges and leading on-site service recovery when needed.
  • Build strong, proactive relationships with planners and corporate clients, driving satisfaction and repeat business.
  • Build relationships with local DMCs and vendors to recommend and coordinate distinctive destination experiences that fit each client's goals and the resort's luxury positioning, while managing vendor logistics and policy compliance.
  • Support event revenue through upsell opportunities, accurate billing, and precise records in the event management system.
  • Perform other duties as requested by management.

The Conference Services Manager plans and executes assigned groups and events at the property, serving as the primary contact for clients from handoff through departure. This role details events, produces banquet event orders, and coordinates delivery across departments. The Conference Services Manager contributes directly to client satisfaction and event revenue. Working closely with sales and operations, this position ensures flawless events.

QUALIFICATION STANDARDS
Required Qualifications
  • Two or more years of experience in conference services, event management, or catering services, preferably within a full-service hotel or luxury resort.

Physical Requirements
  • Sit and work at a computer for administrative tasks.
  • Move throughout event and meeting spaces for extended periods during programs.
  • Occasionally lift and carry up to 25 pounds.
  • Work indoors and outdoors with exposure to heat and sun consistent with the property's climate during events.
LOCATION AND WORK ARRANGEMENT

Location:Onsite. This role is performed at the assigned LionGrove property, working across the conference services office and event spaces, indoors and outdoors.

Schedule Considerations: Requires availability primarily during business hours, with evenings, weekends, and holidays as needed for events, groups, and deadlines.

Travel Requirements:None.
