Job Purpose
The Compliance Support Specialist provides dedicated support to the Company’s compliance operations, with a primary focus on maintaining accurate, timely, and complete compliance documentation and assisting property teams in meeting applicable regulatory, program, and company requirements.
This position is primarily a compliance-focused role. The Compliance Support Specialist works closely with the Compliance team and property management staff to monitor, organize, review, and follow up on compliance-related requirements.
Duties & Responsibilities
Compliance Support
- Assist with the day-to-day administration and coordination of compliance activities across assigned properties.
- Review compliance files and documentation for completeness, accuracy, and consistency with applicable requirements and company procedures.
- Assist with monitoring compliance deadlines, certifications, recertifications, annual requirements, inspections, audits, and other regulatory obligations.
- Maintain organized and accurate compliance records and tracking systems.
- Assist with preparation and organization of files for compliance reviews, audits, inspections, and monitoring visits.
- Follow up with property teams regarding missing, incomplete, or outstanding compliance documentation.
- Help identify potential compliance deficiencies and bring concerns to the attention of the appropriate Compliance team member.
- Assist with tracking corrective actions and ensuring outstanding compliance items receive appropriate follow-up.
- Support the Compliance team with research and documentation related to program requirements, regulations, notices, and procedural changes.
- Assist with maintaining current compliance forms, templates, checklists, procedures, and other resources.
- Help ensure required notices and documentation are completed and maintained appropriately.
- Assist with data entry and updates to compliance tracking systems and reports.
- Maintain confidentiality and handle resident and property information appropriately.
Property Team Support – Compliance Focused
- Serve as a compliance resource and point of support for Property Managers, Regional Managers, and property staff.
- Answer routine compliance-related questions and direct more complex questions to the appropriate Compliance team member.
- Help property staff understand and follow established compliance procedures and processes.
- Provide reminders, follow-up, and organizational support to help property teams meet compliance deadlines.
- Assist new Property Managers and team members in becoming familiar with compliance expectations and resources.
Audits, Inspections, and Reviews
- Assist in preparing properties and files for internal and external compliance audits, inspections, and reviews.
- Help compile requested documentation and supporting materials.
- Track findings, required corrections, and follow-up items.
- Assist with maintaining documentation demonstrating completion of corrective actions.
- Provide administrative and organizational support before, during, and after compliance reviews.
Administrative Support
- Maintain compliance calendars, spreadsheets, reports, and tracking tools.
- Prepare routine compliance reports and summaries.
- Organize electronic and physical compliance documentation.
- Assist with special compliance projects and assignments as needed.
- Maintain professional communication with property staff, vendors, agencies, and other contacts when appropriate.
Key Performance Measurement(s)
- Timely completion of assigned compliance tasks, reviews, and follow-up activities.
- Accuracy, completeness, and organization of compliance files, records, and tracking systems.
- Timely identification and escalation of missing, incomplete, or potentially deficient documentation.
- Effective follow-up with Property Management staff regarding outstanding compliance items, deadlines, and corrective actions.
- Successful preparation and organization of assigned materials for audits, inspections, MORs, and other compliance reviews.
Physical Activities & Requirements
- Ability to sit, stand, and walk for extended periods (up to 100% of the work shift).
- Ability to lift, push, or pull up to 25 lbs. as needed.
- Average hearing and vision required for communication and inspection duties.
- Customer service-oriented and able to interact effectively with residents, vendors, and staff.
- Must possess a valid driver’s license and maintain a clean driving record.
Qualifications
- High school diploma or equivalent.
- Strong organizational and administrative skills.
- Excellent attention to detail.
- Ability to manage multiple deadlines and follow up consistently.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Proficiency with Microsoft Office, email, spreadsheets, and other standard office technology.
- Ability to learn and apply detailed regulations, policies, procedures, and program requirements.
Preferred
- Previous experience in affordable housing, property management, compliance, housing programs, or related field.
- Experience with HUD, LIHTC, HOME, HTF, RAD, PBRA, and PRAC, or other affordable housing programs.
- Experience preparing for or assisting with audits, inspections, or regulatory reviews.
- Familiarity with property management or compliance software.
