Job description

At EOLA Power, we support mission-critical power systems for organizations that cannot afford downtime. Our customers include hospitals, data centers, municipalities, utilities, and industrial facilities across the United States.

We provide maintenance, emergency service, and turnkey solutions for UPS systems, generators, batteries, and related critical infrastructure. Our work ensures businesses remain operational when power interruptions occur.

As we continue to grow, we are seeking a highly organized and proactive Compliance & Operations Specialist to support our customer compliance programs and operational initiatives.

Position Overview

The Compliance & Operations Specialist is responsible for managing customer compliance requirements, insurance documentation, client onboarding, and operational support activities that ensure uninterrupted service delivery across EOLA Power.

This is not an entry-level administrative role.

We are seeking someone who has previously managed compliance programs, customer requirements, insurance documentation, or similar responsibilities and can contribute immediately with minimal training.

The ideal candidate is detail-oriented, resourceful, and comfortable working independently. They take ownership of problems through resolution and understand the importance of meeting deadlines in a fast-paced environment.

Key Responsibilities

  • Manage customer compliance platforms, including ISNetworld (ISN), Avetta, NetVendor, and similar systems.
  • Track and maintain customer compliance requirements, including Certificates of Insurance (COIs), safety documentation, training records, and company registrations.
  • Monitor expiration dates and proactively coordinate renewals to prevent lapses in compliance.
  • Work directly with insurance brokers, carriers, and customers to obtain and submit required documentation.
  • Coordinate with internal departments to collect and maintain compliance records.
  • Maintain organized records of customer agreements, registrations, and compliance documentation.
  • Respond to customer compliance requests and inquiries in a timely and professional manner.
  • Research and resolve compliance-related questions involving insurance requirements, safety documentation, and customer onboarding.
  • Identify process improvements and implement solutions to increase efficiency and reduce risk.
  • Support additional operational initiatives and special projects as assigned.

What Success Looks Like

  • Customer sites are never inaccessible due to expired compliance documentation.
  • Compliance requirements are completed accurately and ahead of schedule.
  • Insurance certificates, endorsements, and registrations are renewed before expiration.
  • Internal teams trust that customer requirements are being managed without follow-up.
  • Compliance issues are identified and resolved before they impact operations.
  • Projects continue moving forward without delays related to documentation or customer requirements.

Qualifications

  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple priorities, deadlines, and systems simultaneously.
  • Strong problem-solving and critical-thinking abilities.
  • Professional written and verbal communication skills.
  • Ability to work independently with minimal supervision.
  • Proficiency with Microsoft Office and cloud-based systems.

Preferred Experience

  • 3+ years of experience in compliance, operations, insurance, customer onboarding, or a related field.
  • Experience with ISNetworld, Avetta, NetVendor, Veriforce, Cognibox, PEC/Safeland, or similar platforms.
  • Experience in industrial, construction, facilities, utilities, staffing, or service-based industries.
  • Working knowledge of:
  • Certificates of Insurance (COIs)
