Job summary

Cape Cod Veterinary Specialists is a growing emergency and specialty hospital seeking a Full-Time Client Care Associate to support the Buzzards Bay and Dennis hospitals in Massachusetts. The role emphasizes compassionate client interaction, scheduling, and accurate financial transactions to support our emergency and specialty teams.

You will greet clients, answer calls, create estimates and invoices, collect deposits, and maintain patient records in the EMR.

Qualifications

1+ year of veterinary hospital experience preferred (e.g., technician, assistant, CSR, or CCA).
Strong customer service and communication skills.
Ability to multitask, prioritize, and stay calm in a fast-paced environment.
Comfortable using Word and Excel; able to learn new software.
Experience with ezyVet, SmartFlow, CareCredit, or similar programs preferred.

Responsibilities

Greet and check in clients for emergency and specialty appointments.
Schedule and confirm appointments.
Answer and direct calls using a multi-line phone system.
Create estimates and invoices, collect deposits, and process payments.
Scan documents and maintain accurate information in the electronic medical record.
Send medical records and updates to referring veterinarians.
Maintain a clean, welcoming front desk and lobby.
Communicate with compassion and empathy during high-stress situations.
Work closely with medical teams across both hospitals.
Contribute to a supportive and positive team environment.
