Job summary

Cape Cod Veterinary Specialists is seeking a full-time Client Care Associate to support both its Buzzards Bay and Dennis hospitals. You’ll be the first and last point of contact for clients, ensuring a welcoming, compassionate experience while coordinating records and payments in a fast-paced emergency and specialty setting.

Ideal candidates have strong customer service skills, are detail-oriented, and comfortable using computer systems, including Word and Excel.

Qualifications

1+ year of veterinary hospital experience preferred.
Strong customer service and communication skills.
Ability to multitask and remain calm in a fast-paced environment.
Dependable and flexible, with ability to work at both CCVS locations.
Comfort with Word/Excel and learning new software.
Basic math for deposits and payments; familiarity with front desk duties.

Responsibilities

Greet and check in clients for emergency and specialty appointments.
Schedule and confirm appointments.
Answer and direct calls using a multi-line phone system.
Create estimates and invoices, collect deposits, and process payments.
Scan documents and maintain accurate information in the EMR.
Send medical records and updates to referring veterinarians.
Maintain a clean, organized, welcoming front desk and lobby.
Communicate with compassion and empathy during emotional or high-stress situations.
Work closely with medical teams and fellow Client Care Associates across both hospitals.
Contribute to a supportive and positive team environment.
