South Shore Community Admin $20/hr Saturday-Wednesday (Thur/Fri off)

  • Performs all administrative functions with minimal supervision including answering phones, distributing correspondence, copying, filing, and scheduling conference calls.
  • Arranges and coordinates meetings, schedules, and coordinates visits of vendors and residents.
  • Orders and maintains office supplies.
  • Organizes and maintains facilities files.
  • Complies with quality system regulations, standards, and procedures.
  • Answering multiple phone lines and being able to screen and route phone calls appropriately.
  • Take messages and forward messages to appropriate parties.
  • Greeting visitors and coordinating office traffic.
  • Key management between guests and vendors.
  • Help other departments with tasks such as typing up documents, making copies, customer calls.
  • Programming fobs and ordering key copies.
  • Security camera review.
  • Package handling (organizing, notifying residents, returning to sender, audits).
  • Collect payments and issue receipts.
  • Calling customers to share maintenance & account updates.
  • Assist customers with guest parking passes.
  • System processing for administrative duties such as move-outs, service requests, notice to vacates.
  • Assist customers with amenity reservations.
  • Uploading renter’s insurance and connecting with out-of-compliance tenants.
  • Draft community correspondence- Eblasts & newsletters.
  • Draft and upload residential notices, renewals, smoking notices.
  • Uphold and understand the lease agreement on a basic level.
  • Any other administrative or customer service tasks the community may require

The administrative receptionist is the heart of the office. This person should be energetic and solution oriented and should be able to assist with all thing’s customer related. This person is not management and is not expected to resolve all tenant concerns however, the Community Admin should be able to field all concerns initially and schedule a follow up with a Leasing Agent or Manager, as necessary. Previous roles as an office manager or receptionist are relatable; however, this role also includes an emphasis on customer service/relations.

The day to day:

Visitor Management: Confirm vendor appointment, issue keys in exchange for ID, confirm tour appointments and pass off to leasing agent, assistant package vendors with key access, and package audit.

Resident facilitator: Assist residents in placing a service request, update renter’s insurance, replace building keys or fobs, place amenity reservations

Community knowledge: Be able to effectively communicate any community projects or company policy. Uphold the lease agreement on a basic level.

Administrative duties: Answer all incoming calls and return voicemails for missed calls. File any paperwork that comes through the office on a weekly basis, draft community correspondence for Eblasts and newsletters, type other notices as delegated by management. Create spreadsheets with data provided.

Customer Service: Meet with customers regarding their concerns, deescalate the situation and connect them with a leasing agent or manager, as necessary.
