Job summary

Transportation Management Group (TMG) seeks a Communications Specialist to coordinate non-emergency transportation services in a fast-paced, high-volume environment. This role requires strong communication, multitasking, and meticulous attention to detail to ensure accurate dispatch and exceptional customer service.

You will interfaces with clients, healthcare facilities, Transporters, and internal teams to manage reservations, monitor trips, and resolve issues while maintaining HIPAA

Qualifications

  • High school diploma or equivalent required.
  • 2+ years in dispatch, call center, or high-volume customer service.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, Teams).
  • Knowledge of the Las Vegas metro area preferred.
  • Strong technical aptitude and customer-focused mindset.

About the Role:

The Communications Specialist plays a critical role in coordinating non-emergency medical transportation services, ensuring clear, timely, and effective communication between clients, healthcare facilities, Transporters, and internal teams. This position is ideal for someone who thrives in a fast-paced, high-volume environment and enjoys problem-solving, multitasking, and making real-time decisions that keep operations running smoothly. The ideal candidate is detail-oriented, customer-focused, and able to communicate confidently while managing multiple priorities.

Key Responsibilities:
  • Respond promptly to inbound calls, messages, emails, and other communications.
  • Communicate clearly and professionally with clients, healthcare staff, Transporters, account holders, and internal teams.
  • Utilize knowledge of the Las Vegas area to support accurate and efficient dispatch decisions.
  • Monitor dispatch systems and GPS tracking to manage trip progress, Transporter locations, and service efficiency.
  • Manage and update reservations, including entering new trips and ensuring accuracy of all details.
  • Coordinate communications and operations within assigned territory to support service delivery.
  • Accurately document trip details, client requests, service activity, and any transporter-related concerns.
  • Proactively communicate delays, route changes, and service updates to Transporters, management, and relevant stakeholders.
  • Ensure appropriate Transporter coverage to meet scheduled transport needs and elevate coverage gaps as needed.
  • Maintain professionalism and composure in all interactions, including high-volume or time-sensitive situations.
  • Collaborate with Transporters and healthcare staff to ensure accurate locations, timely service, and clear communication of ETAs.
  • Monitor and manage will-calls, trip assignments, and dispatch activity to minimize delays and optimize efficiency.
  • Review and update trips, including notes, assignments, and status, ensuring accuracy and completeness.
  • Create and adjust routes based on pickup and drop-off locations.
  • Utilize dispatch software to manage trips from initiation through completion, including end-of-shift reconciliation and board cleanup.
  • Identify, elevate, and document service issues, including delays, cancellations, incidents, or customer concerns, in a timely manner.
  • Ensure compliance with company policies, safety standards, and confidentiality requirements, including HIPAA.
  • Maintain awareness of operational priorities, service levels, and performance expectations throughout the shift.
  • Deliver timely, accurate, and high-quality customer service.
  • Perform additional duties as assigned by management.

  • Comply with all Company policies and applicable laws and regulations.

Qualifications:
  • High school diploma or equivalent required.
  • 2+ years of relevant experience in dispatch, call center, or high-volume customer service environments, or an equivalent combination of experience and demonstrated capability.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
  • Knowledge of the Las Vegas metropolitan area and surrounding regions preferred.
  • Strong technical aptitude with the ability to quickly learn new systems and adapt in a fast-paced environment.
  • Customer-focused mindset with strong communication and problem-solving skills.

Reports directly to the Communications Manager.

Job Type:

Full-time

Compensation:

$19.00 - $24.00 per hour based on experience and qualifications.
