A Japanese independent research institute is seeking a Communications & Operations Manager to join its team in Washington, DC.

Job Type: Full-Time / Hybrid
Hybrid Schedule: Minimum 3 days/week in office
Hours: Monday–Friday, 9:00 AM–5:00 PM ET
Compensation: Up to $35/hour, depending on qualifications and experience
Expected Start: Late November 2026
About the Organization
The organization is a small nonprofit research institute focused on transportation, tourism, and Japan-U.S. relations. It conducts research and educational activities and organizes conferences, seminars, symposiums, and other programs.
Key Responsibilities
- Coordinate conferences, seminars, symposiums, and other events, including venues, speakers, catering, AV, interpretation, travel, and on‑site support
- Serve as a key point of contact for speakers, participants, clients, vendors, and other stakeholders
- Coordinate speaker meetings and support event preparation and execution
- Draft and edit official correspondence, newsletters, press releases, speeches, MC scripts, and other communications
- Manage and update the organization’s website and social media accounts, including X, LinkedIn, and Facebook
- Support PR, outreach, and promotion of events and programs
- Create flyers, graphics, social media content, and other marketing materials using Adobe tools
- Provide English proofreading, native‑level language review, note‑taking, and occasional Japanese‑English translation
- Support staff meetings, business trips, and related administrative activities
- Arrange hotels, transportation, restaurants, and other logistics for visitors from Japan
- Assist with HR paperwork, building management, and general office administration
- Support additional projects and responsibilities as needed
Qualifications
Required
- Excellent written and verbal English communication skills
- Japanese proficiency at approximately JLPT N2 level or above
- Strong organizational and interpersonal skills
- Ability to manage multiple priorities and work independently as well as collaboratively in a small team
- Proficiency in Microsoft Office, particularly Word and Excel
- Experience with or working knowledge of Adobe Illustrator, Adobe Stock, Adobe Express, or similar tools
- Familiarity with Gmail, Google Calendar, Google Docs, and Google Workspace
Preferred
- Experience in communications, PR, event management, nonprofit organizations, tourism, transportation, or related fields
- Experience working in a Japanese‑English bilingual professional environment
- Experience with social media management, graphic design, translation, or proofreading
This is a full‑time hybrid position, requiring at least 3 days per week in the Washington, DC office, with up to 2 days of telework.
The 9:00 AM–5:00 PM schedule includes a 60‑minute paid lunch period.
