Job summary

Center for Victims in Pittsburgh is seeking a Communications Assistant to support internal and external communications, administration, and program delivery. You will assist with events, marketing materials, calendar management, and volunteer coordination, while helping with grant submissions and fundraising activities.

The role emphasizes teamwork, clear written and verbal communication, and confidentiality.

Qualifications

  • College degree preferred or high school diploma and at least five years of experience in administrative support.
  • Completion of victim assistance training including domestic violence, sexual assault/rape crisis, and other crimes and basic conflict resolution training—provided by the organization.
  • Ability to secure Act 33/34 and FBI clearances; willingness to obtain additional funding-related clearances.

Responsibilities

  • Organize CV events, outreach and awareness activities, coordinating logistics and materials.
  • Assist in producing PR and marketing materials such as brochures, flyers, newsletters, and annual reports.
  • Maintain the SharePoint calendar for organization-wide events and community events.
  • Aid in recruiting, orienting/training, and managing direct service volunteers.
  • Prepare and edit correspondence, presentations, reports and other documents; assist with grant reports and submissions.
  • Support fundraising activities and coordinate with third-party fundraisers and logistics.
  • Create office systems to support development projects and operations; attend staff meetings and trainings.

POSITION: Communications Assistant

The Communications Assistant plays a key role in supporting the organization’s internal and external communication efforts. The position provides administrative and programmatic support to the development, public relations and awareness, and community outreach functions of the organization. The Assistant contributes to strategic communication initiatives aimed at increasing the organization’s visibility and strengthening its public image.

Responsibilities
Event Coordination
  • Assists with organizing CV events, outreach and awareness activities including logistics coordination and preparation of materials.
  • Helps coordinate the organization’s presence and participation in community events to maintain consistent branding and messaging, enhancing the organization’s visibility.
Marketing Materials
  • Assists with the production of public relations and marketing materials such as educational brochures, flyers, newsletters, branded giveaways, annual reports, etc. And ensures supplies are maintained and distributed within the community.
Calendar Management
  • Maintains the SharePoint calendar for organization-wide events and various community events to keep staff informed.
Volunteer Coordination
  • Assists in recruiting, orienting/training, and managing the organization’s in direct service volunteers.
  • Tracks and coordinates the organization’s indirect volunteer activities and maintains records of volunteer time.
  • Responds to volunteer inquiries; and collaborates with program and administrative staff to understand volunteer needs and opportunities.
Document Preparation and Grant Support
  • Prepares and edits correspondence, presentations, reports and other documents.
  • Assists in preparing grant reports, proposals, and gathering documentation or data for grant submissions.
Fundraising Support
  • Assists with fundraising activities and events, including third-party fundraisers; serve as the primary contact with third-party organizers and handle logistics and materials distribution.
Other
  • Creates office systems to support Development projects and operations.
  • Attends staff meetings as scheduled and participates in in-service trainings.
  • Performs other duties as requested/assigned.
Qualifications
  • College degree preferred or high school diploma and at least five years of experience in administrative support
  • Excellent verbal and written communication skills.
  • Completion of mandatory victim assistance training including domestic violence, sexual assault/rape crisis, & other crimes and basic conflict resolution training – provided by the organization.
  • Ability to commit to additional training hours as required.
  • Ability to secure Act 33 and 34 (Child Abuse and Criminal History) and FBI clearances.
  • Ability to secure additional clearances/testing that may be required by funding regulations.
  • Proficient in Microsoft Office Programs; computer/database skills including ability to learn state, county, and CV’s various software programs.
  • Ability to work closely with others in a team environment.
  • Supportive of organization’s mission along with sensitivity of cultural diversity and workplace harmony.
  • Ability to adhere to CV’s confidentiality policy along with respect to sensitive, confidential client data and adherence to all Federal, State and local statutes.
  • Self-directed with strong problem-solving abilities and flexibility to meet the needs of the organization.
