Job summary

Responsibilities

  • Identify discrepancies or data gaps and escalate to licensed staff before closing.
  • Track curative tasks (POA/Trust, LLC/Corp docs) to keep closings on schedule.
  • Coordinate with title officers, escrow coordinators, and post-closing staff to move files forward.
  • Maintain file quality and ensure audit readiness.
  • Communicate professionally with clients and partners.

About the Role

We're looking for a detail-oriented and organized Commitment Preparer to join our Title team in a full-time, on-site role in the Dayton metropolitan area. In this role, you'll be the backbone of our commitment preparation process, working directly with licensed title professionals, coordinators, and clients to ensure every title commitment is accurate, compliant, and ready for closing.

You'll review title research, extract critical data, build out commitment schedules, flag issues before they become problems, and coordinate with internal and external team members to keep files moving forward. This isn't just a back-office role; you'll interact with clients and partner professionals regularly, so communication skills and a problem-solving mindset matter just as much as attention to detail.

Key Responsibilities
  • Prepare Title Commitments: Accurately enter title search data and populate commitment templates in compliance with underwriter standards.
  • Review & Verify Documents: Read deeds, mortgages, legal descriptions, tax records, and other documents to extract and record key information correctly.
  • Identify & Escalate Issues: Flag discrepancies, potential title issues, or data gaps and elevate them promptly to licensed title staff so they can be resolved before closing.
  • Track Curative Tasks: Monitor items like legal approvals, POA/Trust documents, LLC/Corporation docs, and other curative actions to keep closing timelines on track.
  • Coordinate Across Teams: Work closely with title officers, escrow coordinators, post-closing staff, and external partners to clarify findings and ensure smooth file progression.
  • Maintain File Quality: Organize and upload supporting documents, maintain file integrity, and keep everything audit-ready.
  • Communicate Professionally: Provide clear, timely responses to internal and external inquiries; support clients as needed with professional, courteous communication.
  • Meet Turnaround Times: Complete commitments within departmental timelines so the team can keep pace with closings.
