Job summary

Moon Valley Nurseries is seeking an organized Commercial Tree Care Administrator to support our Tree Care Division across select markets. This role plays a critical part in ensuring smooth day-to-day operations by managing commercial customer billing, invoicing, accounts receivable support, and communication between customers, Sales, Operations, Finance, and field teams.

You will handle invoicing, verify PO and pricing details, resolve billing discrepancies, and maintain accurate records.

Qualifications

• 2+ years in admin, customer service, billing, or related office work.
• Proficiency in Microsoft Office Suite and Google Workspace.
• Strong organizational, multitasking, and problem-solving skills.
• Excellent written and verbal communication.
• High attention to detail with invoices and financial documentation.
• Ability to manage a high volume of calls professionally.
• Communicates effectively with customers, field employees, managers, and internal departments.

Responsibilities

• Serve as primary contact for commercial customers and resolve routine concerns.
• Handle inbound/outbound calls on service updates, billing, and accounts.
• Maintain documentation of customer communications and account details.
• Escalate issues to Sales, Operations, or management and follow through to resolution.
• Communicate service details to maintain strong customer relationships.
• Process commercial invoices on time based on work and PO documentation.
• Review documents to confirm PO, pricing, and billing accuracy before invoicing.
• Collaborate with Sales, Operations, and AR to resolve discrepancies.
• Support AR by monitoring balances and following up on invoices.
• Maintain records of invoices, accounts, payments, and related docs.
• Partner with Sales, Operations, Finance to move jobs from intake to billing.
• Ensure billing details documented and communicated to customers.
• Identify recurring billing challenges and suggest improvements.
• Assist with other admin tasks for the Commercial Tree Care Division.
