Job description

Job Summary

We are seeking an experienced and results-driven Commercial Property Manager to oversee the daily operations, financial performance, and tenant relations for our premium commercial office portfolio. In this role, you will act as the primary liaison between property ownership and corporate tenants, ensuring high-quality asset preservation, operational efficiency, and maximum Net Operating Income (NOI). The ideal candidate possesses deep expertise in commercial lease administration, vendor management, office building mechanical systems, and financial reporting.

Key Responsibilities

Tenant Relations & Lease Administration

  • Serve as the primary point of contact for office tenants, executing retention programs and resolving service requests promptly to maintain high tenant satisfaction.

  • Abstract and enforce corporate lease agreements, accurately managing escalations, monthly billings, certificates of insurance (COI), and renewal notification periods.

  • Coordinate seamless tenant move-ins and move-outs, collaborating with construction teams on tenant improvements (TI) and space deliveries.

  • Partner with leasing brokers to market vacant spaces, prepare detailed tour materials, and review prospective tenant financials.

Financial Management & Reporting

  • Prepare and manage annual operating budgets, mid-year reforecasts, and capital expenditure (CapEx) planning using industry software (Yardi/MRI).

  • Oversee accounts receivable and payable, track delinquent accounts, and aggressively minimize aged delinquency.

  • Process annual Common Area Maintenance (CAM), real estate tax, and insurance reconciliations (Triple Net/NNN).

  • Generate comprehensive monthly general ledger financial packages and variance reports for ownership review.

  • Calculate sub-metering reports and manage utility bill-backs for business tenants.

Building Operations & Vendor Oversight

  • Supervise the on-site building maintenance team and Chief Engineer to manage preventative maintenance and energy-management programs.

  • Procure and manage third-party vendor service agreements (janitorial, security, landscaping, elevators) through competitive bidding to ensure cost efficiency and high standards.

  • Conduct regular physical inspections of the building envelope, common areas, mechanical rooms, and structural components to identify deferred maintenance issues.

  • Ensure strict building compliance with OSHA, the Americans with Disabilities Act (ADA), fire and life-safety codes, and local municipal property regulations.

Required Skills & Qualifications

  • Experience: Minimum of 3–5 years of experience in commercial property management, specifically managing commercial office buildings.

  • Education: Bachelor’s degree in Real Estate, Business Administration, Accounting, or a related field preferred.

  • Software Proficiency: Advanced capability in property management systems such as Yardi Voyager or MRI, alongside MS Office (particularly Excel).

  • Industry Credentials: Active industry certifications like RPA® (Real Property Administrator) from BOMA or CPM® (Certified Property Manager) from IREM are highly desirable.

  • Communication: Exceptional verbal and written communication skills tailored for interacting with corporate executives, legal counsel, and technical contractors.

  • Availability: Flexibility to handle after-hours building emergencies and maintain a predictable operational rhythm.

All qualified applicants will be considered in accordance with federal, state, and local Equal Opportunity laws, including those with arrest or conviction records.

Any offer of employment and all compensation, benefits, and other terms and conditions of employment will be established by the client.
