A Day in the Life
Financial Management & Compliance
- Develop, manage, and report on property budgets with strong financial accountability.
- Conduct monthly variance analysis and reporting to be shared with the Asset Management team.
- Ensure rigorous compliance with all audit standards, internal controls, and financial reporting requirements.
- Oversee vendor contracts, invoices, and accounts payable/receivable processes.
- Lead CAM reconciliations and projections for large-scale budget planning and cash flow needs.
- Coordinate and prepare annual budgets, financial forecasts, quarterly Owner distributions, and strategic recommendations.
- Work with property accounting teams to ensure complete, accurate, and timely reporting.
Property Management & Operations
- Coordinate with the Building Engineering team and Assistant Property Manager (APM) to ensure all tenant inquiries, concerns, and requests are addressed and communicated promptly.
- Foster a collaborative and inclusive work environment with the on-site team, including vendor site staff, recognizing their essential role in our overall success.
- Conduct daily property walks and maintain high standards of a Class-A property appearance and maintenance.
- Manage vendors and contractors to ensure maintenance and repairs are completed on time and within budget, including contract negotiation and quality review of work performed.
- Work with APM to create and maintain systems for documentation and audit tracking (physical and digital).
- Ensure the property remains compliant with all insurance, safety codes, and environmental regulations.
- Prepare agendas for bi-weekly Asset Management meetings and develop content for monthly Owner meetings.
- Provide weekly updates to the Commercial Team and Managing Supervisor on key issues and property-related developments.
Tenant & Owner Relationship Management
- Serve as the primary liaison for on-site property owners, with a customer service approach that is highly personal, proactive, and solutions-oriented.
- Support the Owner with a variety of concierge-type services in coordination with the APM, including package deliveries, errands, and light administrative tasks as needed.
- Maintain the highest level of discretion, confidentiality, and attentiveness.
- Promote a positive and service-forward atmosphere for both owners and tenants.
Time Management & Communication
- Manage competing priorities efficiently and independently.
- Prepare concise, thorough communications for management and ownership, highlighting issues proactively.
- Work with APM to create and maintain administrative records, including daily activity logs and incident reports.
- Deliver seamless reporting with a strong emphasis on clarity and timeliness for both Asset Management and ownership.
Requirements
Qualifications
- Bachelor’s Degree in Business, Real Estate, Finance, Hospitality, or related field strongly preferred.
- 5+ years of property management, facilities management, or commercial real estate operations experience.
- 2+ years handling high-level financial reporting and budget management for large commercial properties (Amazon experience a strong plus).
- Experience with compliance audits and documentation management.
- Proven customer service experience in a high-touch environment (luxury property, hospitality, or concierge service experience highly desirable).
- WA Real Estate License preferred.
- Strong working knowledge of Microsoft Office Suite (Excel expertise required); YARDI, Entrata, or similar property management software experience preferred.
- Excellent organizational, interpersonal, and active listening skills.
- Ability to lift up to 40 pounds and conduct property inspections as needed.
