Job summary

O'Neil Printing is seeking a Commercial Print Estimator / Project Manager to prepare accurate estimates and oversee commercial print, large format graphics, signage, environmental graphics, and branded environment projects from concept to delivery and installation.

You will liaise between sales, clients, vendors, and internal teams to ensure projects are on time and within budget, applying print production knowledge across estimating, scheduling, materials, and finishing.

Qualifications

  • Minimum 3 years in commercial printing, large format graphics, signage, environmental graphics, direct mail, packaging, or print manufacturing.

Important: Print Industry Experience Required

This role supports commercial print, large format graphics, signage, and environmental graphics projects. Due to the specialized nature of print production, we're looking for candidates who have worked in a print manufacturing, commercial printing, or graphics production environment.

Position Overview

The Commercial Print Estimator / Project Manager prepares accurate estimates and manages commercial print, large format, signage, environmental graphics and branded environment projects from initial request through final production, delivery and installation.

This role serves as a primary liaison between sales, clients, vendors, installers, and internal production teams to ensure projects are executed accurately, efficiently, on time and within budget.

The ideal candidate understands print production and can confidently navigate estimating, scheduling, materials, production methods, finishing, installation coordination, and client communication throughout the life of a project.

What You’ll Do
  • Prepare accurate and timely estimates for commercial printing, direct mail, wide format graphics, signage, displays, environmental branding, and related services.
  • Evaluate substrates, materials, labor, finishing, bindery, installation requirements, freight, and outsourced services to determine project costs.
  • Recommend efficient and cost-effective production solutions while maintaining quality standards and client expectations.
  • Work closely with sales representatives and account managers to clarify client requirements and project specifications.
  • Maintain estimating records, vendor pricing, and material costs, and production standards.
  • Work within print MIS/ERP systems and production workflows.

Project Management & Production Coordination

  • Coordinate projects from order entry through final production, fulfillment, delivery, and installation.
  • Develop and maintain project schedules, production timelines, and installation coordination plans.
  • Create and manage job tickets, work orders, and project documentation.
  • Coordinate workflow between prepress, print production, finishing, fabrication, fulfillment, shipping, and installation teams.
  • Schedule and coordinate subcontractors, installers, vendors, freight, and material deliveries as needed.
  • Monitor project progress and proactively resolve scheduling, production, or operational issues.

Client & Internal Communication

  • Serve as a primary support resource for sales representatives and account managers throughout project execution.
  • Provide clear and proactive communication regarding project status, timelines, and production schedules.
  • Assist customers with schedules, specifications, proofs, production requirements, and delivery expectations.
  • Resolve project concerns professionally and elevate issues when necessary.
  • Coordinate or participate in site surveys to evaluate installation conditions, measurements, access requirements, and project challenges when required.
  • Verify project readiness prior to production and installation.
  • Collaborate with installation crews and field personnel to support successful project execution.
  • Ensure completed projects meet company quality standards and customer expectations.

Vendor, Production & Quality Coordination

  • Source materials and coordinate with outside vendors when required.
  • Collaborate with internal production and graphics teams to ensure project readiness and successful execution.
  • Coordinate shipping schedules, freight logistics, and installation timelines.
  • Monitor projects to ensure compliance with company quality standards and customer expectations.
  • Support billing accuracy through proper documentation and change order tracking.
  • Conduct project closeout activities and maintain organized project records.
What You Bring
Applicants Must Have One or More of the Following:
  • Print Customer Service Representative (CSR) experience
Required Industry Experience
  • Minimum 3 years of experience in at least one of the following: commercial printing, large format graphics, signage, environmental graphics, direct mail, packaging, or print manufacturing.
  • Strong understanding of print production processes, materials, substrates, finishing methods, bindery operations, fulfillment, freight, and installation coordination.
  • Experience managing multiple projects simultaneously in a fast-paced production environment.
  • Excellent organizational, communication, and customer service skills.
  • Strong sense of urgency, accountability, and attention to detail.
  • Ability to anticipate challenges and develop practical solutions.
Preferred Qualifications
  • Experience in both print estimating and print project management.
  • Experience with large format graphics, environmental graphics, signage, and installation projects.
  • Experience with print MIS/ERP systems such as Pace, PrintSmith, EFI, Monarch, Avanti, EPMS, Technique, or similar platforms.
  • Advanced Microsoft Office proficiency.
Working Environment & Physical Requirements

This position operates primarily in an office and production environment with regular interaction across manufacturing departments. Occasionally early morning, evening, or weekend work may be necessary based on project schedules and production timelines.
