Performance Mechanical Group is a leading mechanical HVAC contractor in the Puget Sound area, with over 30 years of dedicated service. We take pride in our exceptional team and our commitment to providing top-notch HVAC solutions. We are currently seeking a skilled and motivated Commercial HVAC Dispatcher to join our dynamic team.

Position Title:Commercial HVAC Dispatcher
Location:Kent, WA
Compensation:$28 - $35 per hour (Dependent on Experience)
Schedule:Monday - Friday, 7:30 AM - 4:30 PM (Overtime as needed)

Role Overview:
As a Commercial HVAC Dispatcher, you will be the backbone of our service operations, expertly managing the daily schedules of our service technicians. Your role will involve dispatching technicians for service calls, coordinating return visits, and ensuring clear communication with customers and team members. Your organizational skills and proactive approach will be key to maintaining our high standards of customer service.

Key Responsibilities:

• Schedule Coordination:Efficiently schedule and manage all commercial service calls, creating dispatch tickets for each request.
• Technician Dispatching:Assign service technicians to calls, ensuring optimal coverage and timely responses.
• Debriefing:Conduct debrief sessions with technicians after each service call to gather feedback and ensure quality service.
• Customer Communication:Handle incoming calls from commercial customers, providing updates and information regarding service schedules.
• Dispatch Board Management:Maintain the dispatch board and schedule, ensuring all appointments are accurately tracked and communicated.
• Workload Forecasting:Anticipate service demands by forecasting workload for the next 2-3 days.
• Parts Coordination:Contact customers regarding parts pending status and schedule return visits once parts are received.
• Follow-Up Assistance:Assist with follow-ups on pending and recommended work to ensure customer satisfaction.
• Job Reporting:Update the open job report twice weekly (every Monday and Thursday) to keep management informed.
• Customer History Maintenance:Keep detailed customer history files in the database for future reference and service agreement renewals.

Qualifications:

• Minimum of 2 years of dispatch experience; HVAC dispatch experience is preferred.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• Strong interpersonal skills to maintain positive relationships with technicians and customers.
• Proficient in Microsoft Office Suite and other relevant software.
• Excellent verbal and written communication skills.
• Strong attention to detail and a commitment to delivering exceptional customer service.
• Dependable, punctual, and proactive in problem-solving.
