Job Description Summary / TWC Summary

JOB SUMMARY : The coordinator will manage the program’s daily operations andprovide comprehensive assistance to veterans and active-dutyservice members as they move through enrollment, militarytranscript evaluation, Prior Learning Assessment, academicplanning, and credential completion. The position will work closely with participants, faculty, academicdepartments, university offices, workforce partners,military-affiliated organizations, and external stakeholders toensure that program activities are completed efficiently and inaccordance with institutional policies and Texas WorkforceCommission grant requirements.

Grant-Funded Position Notice This position is funded through the Texas Workforce CommissionCollege Credit for Heroes grant. Continued employment is contingentupon the availability of grant funding, satisfactory performance,and the continued operational needs of the program.

Essential Duties Summary

  • Manage the day-to-day operations, logistics, schedules,activities, and administrative functions of the College Credit forHeroes program.
  • Coordinate participant enrollment, intake, orientation, andonboarding processes.
  • Assist veterans and active-duty service members with navigatinguniversity admissions, enrollment, military transcript submission,Prior Learning Assessment, and related institutionalprocesses.
  • Support the collection, review, routing, and documentation ofJoint Services Transcripts, Community College of the Air Forcetranscripts, military certifications, occupational trainingrecords, and other prior-learning documentation.
  • Coordinate the evaluation of military education, training,occupational experience, certifications, and other prior learningwith faculty, academic departments, registrars, advisors, anddesignated evaluators.
  • Support the implementation of Prior Learning Assessmentmethods, including portfolio assessments, challenge examinations,certification crosswalks, and military credit evaluations.
  • Track each participant’s progress from initial inquiry andevaluation through enrollment, credit award, academic progression,credential completion, and career transition.
  • Maintain accurate participant records and ensure that allprogram documentation is complete, organized, confidential, and audit ready.
  • Serve as the primary liaison among program participants,faculty, academic departments, university offices, and externalpartners.
  • Coordinate referrals to academic advising, financial aid,veterans’ benefits, tutoring, career services, counseling, andother student-support resources.
  • Monitor participant engagement and follow up with students whoexperience barriers that could affect their academic progress orprogram completion.
  • Maintain compliance with institutional policies, grantrequirements, reporting standards, and applicable state and federalregulations.
  • Assist with the preparation and submission of monthly,quarterly, annual, and other required program reports.
  • Collect, organize, verify, and analyze program data, includingparticipant enrollment, credits evaluated and awarded, academicprogress, credential attainment, time to completion, andemployment-related outcomes.
  • Support the development and maintenance of a centralized systemfor tracking participant services, academic credit, progress, andprogram outcomes.
  • Assist with the coordination of program workshops, informationsessions, faculty training, participant events, and partnermeetings.
  • Collaborate with the Outreach and Engagement Lead onrecruitment, communications, community engagement, andparticipant-retention activities.
  • Maintain regular communication with veterans, active-dutyservice members, program partners, and other stakeholders regardingprogram services and participant needs.
  • Support the development and implementation of standardizedprocedures, evaluation rubrics, quality-assurance practices, andoperational workflows.
  • Assist with monitoring the program budget, expenditures,purchasing, and supporting documentation, as assigned.
  • Participate in program assessment, continuous-improvementactivities, and planning for the program’s sustainability andexpansion.
  • Perform other duties related to the College Credit for Heroesprogram as assigned.

Hiring Range $55,038.89 - $70,174.59

Bachelor’s degree in education, public administration, workforcedevelopment, student affairs, business administration, socialsciences, or a related field.

Master’s degree in education, public administration, workforcedevelopment, student affairs, business administration, or a relatedfield preferred.

Required Licensing/Certification Valid Texas Driver’s License preferred.

  • Program-coordination experience in higher education, workforcedevelopment, veteran services, military-affiliated programming, ora grant-funded environment.
  • Experience supporting veterans and active-duty servicemembers.
  • Knowledge of military education benefits, military transcripts,and the challenges service members may experience whentransitioning into higher education and civilian employment.
  • Familiarity with Prior Learning Assessment principles andpractices.
  • Familiarity with the American Council on Education MilitaryGuide, military credit recommendations, credit-articulationprocesses, or competency-based education.
  • Experience working with student information systems,case-management systems, data-tracking platforms, orgrant-reporting systems.
  • Experience developing or supporting workforce pipelines,employer partnerships, community partnerships, or career-transitioninitiatives.
