Position Summary

The Collections Specialist plays a critical role in optimizing cash flow, strengthening customer relationships, and supporting the company's financial health. This individual is responsible for proactively managing accounts receivable, resolving outstanding balances, investigating payment discrepancies, and driving timely collections efforts. The ideal candidate is detail-oriented, analytical, and highly customer-focused, with the ability to collaborate across departments and communicate effectively with customers at all levels. This role offers the opportunity to make a direct impact on working capital through strategic account management, deduction recovery, and continuous process improvement.

Key Duties/Responsibilities

Tasks/ Responsibilities including but not limited to:

• Research, investigate, and resolve customer deductions, chargebacks, shortages, and other disputed items to maximize recovery and minimize write-offs.
• Coordinate with Sales, Customer Service, Operations, and Logistics teams to obtain supporting documentation for deduction disputes and claim resolution.
• Manage and resolve aging accounts receivable balances through proactive customer outreach, account analysis, and follow-up activities.
• Analyze customer account activity to identify trends, recurring issues, and root causes of deductions or delayed payments.
• Submit, track, and follow through on retail deduction disputes to ensure timely closure and recovery of funds.
• Maintain detailed records of collection activities, deduction claims, customer communications, and resolution status.
• Escalate high-risk accounts and unresolved disputes to management, providing recommendations for corrective action.
• Support month-end closing activities by reconciling accounts receivable balances and ensuring deduction reserves are accurate.
• Partner with customers to resolve payment obstacles while maintaining strong business relationships and a high level of customer satisfaction.
• Drive continuous improvement initiatives to reduce aging balances, deduction volume, and days sales outstanding (DSO).
• Preferred complex retail collections experience.
• Comply with company policies and procedures.

Working Conditions/Job Environment

Most work will be indoors with limited exposure to outside elements.There will be time spent on the Production floor and in the Warehouse tracking projects and components, so appropriate dress and safety requirements must be adhered to at all times.This position requires consistent and positive interaction with internal staff and customers.
