Job summary

FirstService Residential is seeking a Collections Specialist in Irvine to coordinate with the AMS Manager on liens, lien releases, and notification letters, ensuring accurate filing and recordkeeping. The role supports billing and maintains compliance with relevant statutes and policies.

The ideal candidate will have high school completion, some college experience, and solid skills in Word/Excel, with experience in Jenark or similar accounting systems.

Qualifications

  • Proper and accurate clerical filing.
  • Ability to research property clarification issues as needed.

Responsibilities

  • Process notification letters, including certified mailing of documents.
  • Process liens and releases per policy and standards.
  • Maintain knowledge of accounting systems and file management.
  • Read and understand title documents to reflect correct owner of record.
  • Track notifications, copies, and mailings against the accounting system.
  • Assist with client billing as an agent of the client.
  • Ensure filing maintenance is up-to-date and accurate.
  • Understand regulations governing enforcement of homeowner assessments.

Job Overview

The Collections Specialist will coordinate with the AMS Manager to ensure compliance with the standards of the department for the processing of liens and lien releases, and various notification letters distributed and to assist with the filing of internal copies and the recorded copies of the notifications.

Compensation

$22-23/hr
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities
  • Process the various notification letters (including certified mailing of appropriate documents)
  • Process liens and releases in accordance with clients’ delinquency policy, civil code and departmental standards.
  • Maintain a working knowledge of FirstService Residential accounting systems and processes including, but not limited to, Jenark and the file management network.
  • Ability to read and understand title documents (grant deeds, quit claim deeds, inter-spousal transfer deeds, etc.) to ensure our accounting records reflect the correct owner of record.
  • Track the notifications, recorded copies and certified mailings against the internal accounting system to ensure all of the required notifications were distributed.
  • Assist with the billing process to our clients (acting as an agent of the client).
  • Ensure the filing maintenance of the department is up-to-date and completed accurately.
  • Have a familiarity and understanding of the applicable codes governing the enforcement of collecting homeowner assessments for compliance purposes. (Davis Stirling Act, Fair Debt Collection Practices Act (State and Federal), Bankruptcy Law)
  • Function as a department liaison for interdepartmental projects.
  • Follows quality system procedures.
  • Other duties as assigned.
Skills & Qualifications
  • Basic knowledge of Microsoft Applications, especially Word and Excel.
  • Good written and verbal communication skills.
  • Ability to learn and utilize the internal accounting system (Jenark); previous accounting system exposure preferred.
  • Proper and accurate clerical filing
  • Ability to research property clarification issues as the need arises.
  • Acts professionally and cooperatively with clients, vendors, and co-workers.
  • Self-Motivated, critical thinking, problem solving, professional demeanor and attention to detail are all essential attributes for the person filling this position.
Education & Experience
  • High school graduate required.
  • Some college experience preferred.
  • Exposure to an office environment with clerical duties highly desired.
  • Property management or escrow experience preferred.
Physical Requirements and Working Environment
  • Must be able to lift 25 lbs.
  • Must be able to sit for extended periods of time.
  • Must have finger dexterity for typing/using a keyboard.
  • Must be able to communicate effectively with internal and external customers.
  • Occasional overtime may be required.
  • Consistent and regular attendance required.
