Job summary

The Salvation Army USA Eastern Territory is seeking a Club Operations & Administrative Coordinator for Ironbound Soccer Club in Newark, NJ. This hybrid role combines on-field coaching with off-field operations and administrative duties to support a professional development environment.

Responsibilities

Job description

The Club Operations & Administrative Coordinator supports the successful daily operation of Ironbound Soccer Club by combining high-quality coaching responsibilities with strong operational and administrative support. This individual serves as an important link between club leadership, coaches, players, families, leagues, facilities, and external partners. The coordinator will help ensure that club programs are organized,communicated effectively, and delivered according to Ironbound Soccer Club’s professional and developmental standards. This is a hybrid position that requires the individual to contribute both on the field as a coach and off the field as a member of the club’s operations and administrative team.

Responsibilities

Coaching Responsibilities
  • Serve as the head coach of assigned travel teams.
  • Plan and deliver organized, age-appropriate, and player-centered training sessions.
  • Coach assigned league, tournament, showcase, and friendly matches.
  • Complete player evaluations, progress reports, and Individual Development Plans.
  • Maintain consistent and professional communication with players and families.
  • Attend club coaching education sessions, technical meetings, and staff development opportunities.
  • Implement Ironbound Soccer Club’s player development philosophy, game model, club identity, and coaching standards.
  • Create a positive, competitive, inclusive, and development-focused team environment.
  • Maintain accurate team attendance and player participation records.
  • Support player movement and collaboration between teams when directed by technical leadership.
Club Operations
  • Assist with seasonal planning and the organization of club programs.
  • Support the development and management of training and game schedules.
  • Coordinate field usage and communicate facility updates to relevant staff.
  • Assist with tournament, showcase, camp, clinic, and special-event logistics.
  • Support game-day operations, including field setup, equipment preparation, staffing, and event coordination.
  • Maintain and monitor club equipment and inventory.
  • Assist with referee, facility, league, and opponent communication.
  • Help identify and resolve scheduling, facility, and operational conflicts.
  • Support the setup and breakdown of club events, meetings, and programming.
  • Assist with the organization of pre-season and post-season activities.
Administrative Responsibilities
  • Support player registration, rostering, carding, and eligibility processes.
  • Maintain accurate player, family, coach, and team information within BYGA and other club systems.
  • Assist with team and club-wide communication.
  • Prepare reports, spreadsheets, calendars, presentations, and administrative documents for club leadership.
  • Track player attendance, coach compliance, and required team documentation.
  • Organize coaching resources, meeting materials, and shared club documents.
  • Assist with uniform, apparel, equipment, and supply orders.
  • Support scholarship applications, documentation, and recordkeeping.
  • Assist with parent meetings, staff meetings, and club presentations.
  • Maintain organized digital and physical records.
  • Respond professionally and promptly to questions from coaches, players, and families.
  • Support additional administrative projects as assigned by club leadership.
Additional Responsibilities
  • Attend staff meetings, technical meetings, and professional-development sessions.
  • Support club tryouts, player identification events, and team-selection processes.
  • Assist with seasonal registration and onboarding.
  • Work assigned camps, clinics, tournaments, showcases, and developmental programs.
  • Support the growth and operation of Ironbound Soccer Club’s developmental programming.
  • Help organize internal coaching education and staff-development initiatives.
  • Assist with parent orientation meetings and informational sessions.
  • Collaborate with club directors and coordinators across different departments.
  • Represent Ironbound Soccer Club professionally at all club, league, community, and partner events.
  • Perform additional duties that support the club’s mission and successful operation.
  • Reconcile payment invoices within TSAMM.
  • Provided documentation for Credit Card reconciliation and tracking of invoices and payments.
  • Other duties within the scope of the role as assigned by supervisors.
Qualifications
  • Minimum United States Soccer Federation coaching qualification.
  • Previous youth soccer coaching experience.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Strong attention to detail and ability to manage multiple responsibilities.
  • Proficiency with Microsoft Office and Google Workspace.
  • Ability to learn and manage club registration, communication, and scheduling platforms.
  • Ability to work evenings, weekends, and selected holidays based on the club calendar.
  • Valid driver’s license and reliable transportation.
  • Ability to work independently while also contributing to a collaborative team environment.
  • Commitment to player safety, safeguarding, professionalism, and youth development.
  • Must understand and support The Salvation Army’s mission as a church and a social services organization.
Desired Qualifications
  • United States Soccer Federation C License or higher.
  • Experience working in youth soccer administration or club operations.
  • Experience using membership management systems. Example: BYGA.
  • Experience with SportsEngine, PlayMetrics, TeamSnap, GotSport, or similar sports-management platforms.
  • Experience coordinating tournaments, camps, clinics, or special events.
  • Experience with player registration, rostering, carding, and league administration.
  • Bilingual proficiency in English and Spanish or English and Portuguese.
  • Familiarity with the Newark and Ironbound communities.
