Job summary

Agape’s Way is seeking a Staffing Coordinator to manage daily clinical staffing, patient visits, and front-office coordination across home health and group homes. You’ll develop schedules for nurses, CNAs, and direct care staff and ensure coverage aligns with resident care needs using KanTime.

Qualifications

• Associate degree preferred.
• Minimum of two years of experience in an administrative, receptionist, staffing, or scheduling role.
• Healthcare scheduling experience strongly preferred.
• Experience scheduling nurses, CNAs, direct care staff, or other healthcare professionals preferred.
• Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
• Familiarity with healthcare scheduling and electronic medical record systems.
• KanTime and WorldView experience preferred; training may be provided.
• Familiarity with HIPAA and patient confidentiality requirements.
• Strong organizational and time-management abilities.
• Excellent written and verbal communication skills.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• High level of attention to detail and scheduling accuracy.
• Ability to communicate professionally with clinical staff, leadership, patients, families, visitors, and callers.
• Strong problem-solving skills and ability to respond effectively to changing staffing needs.
• Dependable, proactive, and comfortable following outstanding issues through resolution.

Responsibilities

• Develop, maintain, and distribute schedules for nurses, CNAs, and direct care staff across assigned locations.
• Monitor daily staffing levels and identify potential coverage gaps.
• Track employee availability, approved time-off requests, call-outs, and schedule adjustments.
• Coordinate coverage for call-outs by identifying available qualified staff in partnership with nursing leadership.
• Communicate open shifts, schedule changes, and staffing needs promptly and professionally.
• Escalate unresolved staffing gaps to the Office Manager and Director of Nursing.
• Assist with monitoring overtime and identifying opportunities to minimize unnecessary labor costs through effective scheduling practices.
• Maintain accurate records of schedule changes, call-offs, and shift coverage.
• Review attendance and staffing patterns and provide relevant information to leadership.
