Job summary

The Medical College of Wisconsin, Inc. is seeking a skilled administrative professional to support the Hematopathology Division.

You will help manage daily administrative and clinical activities, develop division materials, and maintain essential databases and files to ensure efficient operations. You will collaborate with division leadership to support workflows, coordinate onboarding, calendars, and meetings, and contribute to data collection and reporting for division initiatives.

Qualifications

  • Bachelor’s degree required.
  • Minimum 2 years of experience.
  • Strong written and verbal communication.
  • Excellent organizational and time-management skills.

Responsibilities

  • Oversee daily administrative and clinical activities.
  • Develop division materials, including educational, marketing, websites, forms, and reports.
  • Maintain databases and files related to the division.
  • Support clinical workflows by coordinating information needs with stakeholders.
  • Manage faculty calendars, meetings, agendas, and minutes.
  • Coordinate internal and external meetings, site visits, and events.
  • Coordinate onboarding for division faculty with leadership.
  • Collect, analyze, and disseminate division data.
  • Report division data and progress to stakeholders.
  • Participate in committees advancing the division and profession.

SummaryWork under the direction of the Senior Business Operations Coordinator and the Faculty Leader of the Hematopathology Division to oversee daily administrative and clinical activities.Primary ResponsibilitiesCollaborate on the development of division materials, including educational materials, marketing materials, websites, forms, and reports.Partner with division leadership to develop, implement, and maintain comprehensive databases and files related to the division.Support clinical workflows by proactively identifying information needs and coordinating with internal stakeholders to ensure timely and accurate communication.Maintain program timeline, including tracking key deadlines and deliverables across division initiatives.Manage faculty calendars, coordinate meetings, and prepare agendas, minutes, and relevant materials for all Hematopathology faculty.Manage monthly department newsletter, including content collection, formatting, and distribution.Organize internal and external meetings, site visits, and special events.Conduct and coordinate faculty onboarding in the division in partnership with division leadership. Responsibilities include building itineraries, scheduling onboarding meetings, and providing the administrative overview in partnership with the Senior Business Operations Coordinator.Collect, analyze, and disseminate division data.Report division data and progress to division stakeholders.Participate in relevant committees that advance the division and the profession.Knowledge – Skills – AbilitiesKnowledge of computers, clerical procedures, customer service standards, collaboration, and information management.Organization, time management, interpersonal, communication, and problem solving skills.QualificationsAppropriate experience may be substituted for education on an equivalent basis.Minimum Required Education: Bachelor’s degreeMinimum Required Experience: 2 year’s#LI-SN1Physical RequirementsWork requires occasionally lifting moderate weight materials, standing, or walking continuously.Work EnvironmentOccasional exposure to dust, noise, temperature changes, or contact with water or other liquids.
