Job summary

The Medical College of Wisconsin, Inc. is seeking an experienced administrator to oversee the Hematopathology Division’s daily clinical and administrative activities. You will collaborate on division materials and maintain databases, supporting timely communication and organizational efficiency.

You will manage calendars, coordinate meetings and onboarding, and help disseminate division data and reports to stakeholders. This role supports a dynamic academic medical environment at MCW.

Qualifications

  • Bachelor’s degree required; experience may substitute education on an equivalent basis.
  • Minimum of 2 years of related experience.

  • Develop and maintain comprehensive databases and files for the division.
  • Support clinical workflows and coordinate with internal stakeholders for timely communication.
  • Maintain program timelines and track deadlines and deliverables.

  • Coordinate the division newsletter content, formatting and distribution.
  • Organize internal and external meetings, site visits and events.
  • Coordinate onboarding for division faculty with leadership.

Job description

Summary

Work under the direction of the Senior Business Operations Coordinator and the Faculty Leader of the Hematopathology Division to oversee daily administrative and clinical activities.

Primary Responsibilities
  • Collaborate on the development of division materials, including educational materials, marketing materials, websites, forms, and reports.
  • Partner with division leadership to develop, implement, and maintain comprehensive databases and files related to the division.
  • Support clinical workflows by proactively identifying information needs and coordinating with internal stakeholders to ensure timely and accurate communication.
  • Maintain program timeline, including tracking key deadlines and deliverables across division initiatives.
  • Manage faculty calendars, coordinate meetings, and prepare agendas, minutes, and relevant materials for all Hematopathology faculty.
  • Manage monthly department newsletter, including content collection, formatting, and distribution.
  • Organize internal and external meetings, site visits, and special events.
  • Conduct and coordinate faculty onboarding in the division in partnership with division leadership. Responsibilities include building itineraries, scheduling onboarding meetings, and providing the administrative overview in partnership with the Senior Business Operations Coordinator.
  • Collect, analyze, and disseminate division data.
  • Report division data and progress to division stakeholders.
  • Participate in relevant committees that advance the division and the profession.
Knowledge – Skills – Abilities

Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management. Organization, time management, interpersonal, communication, and problem solving skills.

Qualifications

Appropriate experience may be substituted for education on an equivalent basis.

Minimum Required Education: Bachelor’s degree Minimum Required Experience: 2 year’s #LI-SN1

Physical Requirements

Work requires occasionally lifting moderate weight materials, standing, or walking continuously.

Work Environment Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.

Sensory Acuity Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
