We are seeking an experienced and highly organized Clinical Operations Nurse to support the Chief Medical Officer and oversee the daily clinical operations of a growing MedSpa practice. This role combines hands-on nursing expertise, operational management, regulatory compliance, and clinical program coordination. The Clinical Operations Nurse serves as a key liaison between providers, patients, clinical staff, and administrative teams to ensure exceptional patient care, operational excellence, and adherence to all regulatory and safety standards.
The ideal candidate is a licensed Registered Nurse with experience in aesthetic medicine, cosmetic procedures, wellness services, and clinical operations management.
Clinical Operations Management
- Oversee daily clinical operations to ensure efficient patient flow and exceptional patient experiences.
- Coordinate provider schedules, treatment room utilization, and staffing coverage.
- Monitor clinical productivity, patient throughput, and operational metrics.
- Develop and implement workflow improvements to enhance efficiency and patient satisfaction.
- Assist in launching new treatments, services, and clinical programs.
Chief Medical Officer Support
- Act as the primary operational support partner to the CMO.
- Support implementation of the CMO's clinical policies and medical standards while recognizing that medical judgment, approval of clinical protocols, and physician-level clinical decisions remain under the authority of the CMO or other appropriately authorized physician.
- Coordinate physician, nurse practitioner, and nursing schedules.
- Assist with the development and implementation of clinical protocols, treatment guidelines, standing orders, and quality initiatives as approved by the CMO or other appropriately authorized physician.
- Prepare reports, documentation, and presentations for leadership meetings.
- Track and coordinate provider credentialing, professional licensing, required certifications, continuing education, and expiration dates, and notify the CMO and appropriate administrative personnel of deficiencies or upcoming expirations.
- Assist with vendor evaluations, clinical product reviews, and treatment program development.
Clinical Oversight & Patient Care
- Perform nursing assessments and patient consultations as permitted by state regulations.
- Support aesthetic procedures including injectables, laser treatments, wellness therapies, and regenerative medicine services.
- Provide patient education regarding treatment plans, pre-treatment preparation, and post-procedure care.
- Respond to patient questions and escalated clinical concerns.
- Conduct follow-up communications and monitor patient outcomes.
Quality Assurance & Compliance
- Support and monitor clinical compliance with applicable nursing regulations, OSHA requirements, HIPAA policies, infection-control standards, Medical Board requirements, and other applicable clinical policies, and promptly elevate identified deficiencies or potential compliance concerns to the CMO and/or designated compliance personnel.
- Monitor clinical staff adherence to applicable scope-of-practice requirements, approved clinical protocols, standing orders, and supervision requirements, and elevate identified concerns to the CMO.
- Maintain and update clinical policies and procedures.
- Conduct routine chart audits and quality reviews.
- Monitor documentation accuracy and treatment consent compliance.
- Investigate and report clinical incidents, adverse events, and patient complaints.
- Promptly elevate significant adverse events, unexpected clinical outcomes, medication errors, patient safety concerns, scope-of-practice concerns, regulatory issues, and material deviations from approved clinical protocols to the CMO.
- Ensure all required staff training and compliance documentation remain current.
- Assist with onboarding and training of clinical staff.
- Coach employees on treatment protocols, patient service standards, and clinical best practices consistent with CMO-approved protocols and applicable scope-of-practice requirements.
- Coordinate competency assessments and annual clinical skills reviews.
- Support a culture of safety, professionalism, and continuous improvement.
- Manage medical and aesthetic inventory levels.
- Monitor product usage, waste, and supply expenditures.
- Coordinate with pharmaceutical, device, and skincare vendors.
- Ensure proper storage, handling, and documentation of medications and medical supplies.
Patient Experience Management
- Review patient feedback and implement service improvements.
- Resolve escalated patient concerns in a professional and timely manner.
- Develop patient education materials and treatment resources.
- Support retention initiatives and continuity-of-care programs.
