This is a temporary 6-month contracted 1099 position with no benefits. It is a remote role.

The role involves reviewing and approving invoices and expenses against contracts with the R&D function of Clinical Operations globally. It also includes supporting and managing various clinical contracts, administrative, and legal matters.

The individual will manage processes and systems to improve invoice review and approval efficiency, increase financial transparency, and implement effective contract management and communication strategies within R&D.

Responsibilities
  • Knowledge of invoice schema, terminology, and methodology.
  • Manage invoice email inbox, ensuring timely receipt, processing, and tracking. Coordinate with R&D contract owners to approve and process invoices within 5 business days.
  • Assist with resolving invoice disputes.
  • Collaborate with finance to ensure timely payments through internal systems.
  • Research financial information, compare with contract budgets, and communicate discrepancies. Ensure payments adhere to contract terms.
  • Respond to payment status requests from vendors and internal partners.
  • Coordinate with internal stakeholders across the organization and external vendors, investigators, and trial sites.
  • Generate and amend POs, reconcile, and close out contracts.
  • Maintain and report on contract statuses.
  • Perform other financial and administrative tasks as needed.
Qualifications
  • At least 3 years in-house experience in biotech, pharma, or high-tech, with accounting and/or contract management skills.
  • Understanding of vendor agreements and payment processes.
  • Customer service, professionalism, organization, and flexibility.
  • Attention to detail, multi-tasking, problem-solving, and results-oriented skills.
  • Ability to work under pressure, meet deadlines, and exercise sound judgment.
  • Effective cross-functional collaboration skills.
  • Ability to work independently and prioritize tasks.

Preferred qualifications include a BS/BA in Accounting, Finance, or Business, 3 years of relevant accounting experience in biopharma or CRO, and proficiency in MS Office and contract/financial systems.
