Position Summary
To provide guidance and managerial leadership to departmental staff in their daily job functions. Ensures that daily functions of the Clinical Assistants are completed in a timely manner and all patients are provided excellent customer service.

Key Responsibilities
- Provides leadership and guidance to all the Clinical Assistants ensuring they are accessible to their team.
- Reviews the training material and processes with the Clinic Leads to ensure all Clinical Assistants are well trained, understand the purpose of their position and how it fits into the overall the organization.
- Ensures training manuals, policies and procedures, and standard operating procedures are up to date and utilized.
- Creates and provides weekly CA schedule to Patient Care Manager to review and approve.
- Receives Clinical Assistant call outs and assigns coverage as needed.
- Acts as back up coverage to Clinical Assistants if all float staff and Clinic Leads have been utilized.
- Ensures all Physicians’ CA Protocols are up to date and utilized.
- Ensures Clinical Assistants run their clinics efficiently and up to Physician’s standards.
- Ensures staff complies with standard corporate policies, such as clocking in, dress code, parking, and attendance.
- Ensures staff complies with all applicable compliance standards including OSHA and HIPPA standards.
- Monitors the N:(Clinical Documents) drive to ensure staff compliance and productivity for electronic chart prep.
- Monitors the Clinical Inboxes in Athena to ensure that they are sufficiently maintained and items are addressed appropriately.
- Performs inspections on traveling mobile llock boxes and clinic boxes in clinic zones to ensure appropriate content and comply with applicable policies and procedures
- In conjunction with the Patient Care Manager, conducts quarterly meetings with each Provider to review MA performance standards are being met.
- Monitors workloads for all Clinical Assistants, provides assistance as needed and works with Patient Care Manager to recommend solutions.
- Predicts departmental needs and provides full data to management for approval of additional staff, supplies, equipment, etc., as needed.
- Keeps management informed of important issues within the department.
- Keeps Clinical Assistants informed of important issues in other departments and the company.
- Reviews the Monthly Clinic Lead Inspection Reports for each location and addresses any areas of concern.
- Creates a positive work environment for staff.
- Communicate effectively to Physicians, Clinical Assistants and management.
- Works out ways to improve departmental efficiency. Conducts regular departmental meeting with staff to go over ideas, issues, training, new data, etc.
- Conducts probationary and performance evaluations.
- Monitors departmental equipment and supplies, supply allocations or backorders and submits Financial Planning requests to replace or repair items as needed.
- Works with Patient Care Manager to address PTO requests, ensuring proper coverage for the clinics at all times.
- Conducts interviews of candidates, reviews applications and makes recommendations as to new staff hires.
- Works with Senior Clinic Lead to coordinate onboarding and training of all new Medical Assistants and re-training of existing employees as needed.
- Handles all patient complaints relating to Medical Assistants and provides staff counseling, re-training and disciplinary actions if required.
- Coordinates TB skin tests on all new incoming patient facing employees,,
- Ensures all Patient Care employees are certified in CPR.
- Ensures all Patient Care employees TB/Hepatitis B documentation is up to date.
- Travels to Satellite locations to meet with Office Managers or Supervisors to ensure that all Clinical Assistants are following proper protocols in cleaning/stocking their rooms, running clinics efficiently and providing excellent patient care and customer service and Clinic Leads are stocking their clinic.
- Conducts monthly Clinic Lead meetings.
- All other duties as assigned.
Qualifications
- Candidate must have a minimum of 5 years’ experience and a Medical Assistant Diploma or Certificate, LPN or ATC.
- Must have current BLS Certification (or must complete certification within 30 days of employment). Previous Leadership or Supervisory experience a plus.
- Must be familiar with clinic procedures and medical terminology with knowledge of CPT and ICD10 coding.
- Must be organized, and a self-motivated individual.
- This person must have excellent verbal and written communication skills along with strong computer skills and knowledge, to include Microsoft Office products.
