Job summary

TVHC is seeking a Clinical Assistant Supervisor to oversee day-to-day operations and supervise clinical assistants, in collaboration with the Clinic Director. The role includes hiring, orientation, training, scheduling, and progressive discipline to maintain efficient clinic function.

Qualified candidates will hold a Bachelor’s degree or be a licensed LPN/RN, with 4+ years in a clinic setting and proficiency with EMR/EHR systems and MS Office.

  • Bachelor's degree in related field or licensed practical/nurse (LPN/RN) required.
  • Minimum 4 years of clinic experience in a supervisory/lead role.
  • Ability to communicate effectively in English, both verbal and written.
  • Excellent interpersonal skills with patients, families, and healthcare professionals.
  • Proficient with Microsoft Office (Word, Outlook, Excel).
  • Experience using EMR/EHR systems and scheduling tools.

Responsibilities

  • Oversees and is accountable for efficient day-to-day clinic operations and staffing.
  • Works up to 50% of time as a clinical assistant and covers shifts as needed.
  • Collaborates with HR on posting, hiring, and disciplinary actions under Director approval.
  • Participates in staff evaluation processes.
  • Oversees training and competency development including monthly in-services.
  • Ensures compliance with licensing, accreditation, and infection control standards.
  • Manages time cards, PTO requests, and status changes.
  • Maintains liaison with medical staff and administration.
  • Supports budget awareness and inventory coordination.

Description

The Clinical Assistant Supervisor participates as an active team member in a clinical assistant role while overseeing the day-to-day operations of TVHC’s clinical assistants. The Clinical Assistant Supervisor is responsible for such duties as hiring, orientation, training, scheduling and progressive discipline of TVHC employees, in conjunction with the Clinic Director. The Clinical Assistant Supervisor ensures Clinic protocols are adhered to as well as TVHC policies.

Job Description:



  • Oversees and is accountable for the efficient day to day operations of the Clinics, scheduling sufficient, competent Clinical Assistants.

  • Works up to 50% of the time as a clinical assistant with the flexibility to cover shifts as needed. See Clinical Assistant job description addendum.

  • Works with HR to post, advertise and select new employees for hire as well as discipline and terminations as needed and under the review and approval of the Clinic Director.

  • Participates in conjunction with the Clinic Director in the evaluation process of the clinical assistants.

  • Oversees clinical assistant training and competencies which includes monthly in-services.

  • Be flexible to assist clinical assistant staff during and after hours as available.

  • Is responsible for ensuring facility wide updates and announcements are communicated to all clinical staff.

  • Become an EMR super user, be able to troubleshoot issues, facilitate resolutions with the vendor and communicating any changes in processes to all clinical staff.

  • Reviews and approves time cards, PTO requests and status changes.

  • Attends morning huddles and or delegates as needed.

  • Ensures compliance with regulatory agencies and appropriate licensing/accrediting agencies.

  • Establishes, maintains, and monitors an effective quality assurance program.

  • Has basic knowledge of the budget process to assure the clinics run in an economical and efficient manner.

  • Coordinates with Materials Management regarding inventory, potential savings, new supplies or vendors.

  • Maintains an effective, professional relationship with the medical staff, other departments and administration.

  • Assists with any other duties as assigned.


Summary

REQUIRED QUALIFICATIONS



  • Bachelor of Science in related field, or Licensed LPN or RN

  • Minimum of 4 years of experience working in a clinic in similar role

  • A combination of medical office background and clinical/surgical experience

  • Able to communicate effectively in English, both verbally and in writing

  • Excellent interpersonal skills with patients, families, as well as internal and external health care professionals

  • Experience using Microsoft office such as Word, Outlook and Excel

  • Excellent organizational skills

  • Ability to maintain and follow guidelines, set standards of practice in quality patient care, and state, federal, and facility required infection control practices

  • CPR/BLS, or ACLS/PALS, Healthcare Certification


PREFERRED QUALIFICATIONS



  • Additional languages – Spanish Preferred

  • Super user for EMR/EHR, current clinic EMR is preferred

  • Previous experience in Healthcare management or department supervisory role
